About the Role
We are seeking an experienced and proactive Office Manager to oversee daily administrative and operational functions within a dynamic food science and beverage production environment.
Key Responsibilities
- Manage daily office operations and ensure an efficient, well-organized working environment.
- Oversee office supplies, equipment maintenance, and facility management.
- Handle correspondence, document control, and general administrative support to management and staff.
- Maintain and update filing systems (digital and manual).
- Assist with supplier and customer documentation, purchase orders, and invoicing.
- Liaise with accounting or finance departments for reconciliations, petty cash, and expense tracking.
- Support stock and materials management in collaboration with production and procurement teams.
- Coordinate staff attendance, leave records, and HR documentation.
- Assist with onboarding new employees and maintaining training records.
- Ensure compliance with Food Safety (FSSC/ISO/HACCP) and Health & Safety documentation.
- Liaise with regulatory bodies and assist in audit preparation.
- Support management in scheduling meetings, production planning, and departmental coordination.
- Track and communicate project deadlines, maintenance schedules, and key deliverables.
- Work closely with production, logistics, and quality teams to maintain workflow efficiency.
- Serve as the point of contact between management, staff, and external stakeholders.
- Prepare reports, meeting minutes, and communication summaries for internal and external distribution.
- Support management with presentations, document formatting, and administrative tasks.
Requirements
- Minimum Qualification: Diploma or Degree in Office Administration, Business Management, or related field.
- Preferred: Background or exposure to the Food Science / Beverage / Distillery / Manufacturing industry.
- Minimum 35 years’ experience in an administrative or office management role.
- Strong knowledge of MS Office (Excel, Word, Outlook, PowerPoint).
- Understanding of accounting basics and familiarity with ERP or accounting software.
- Excellent organizational, communication, and problem-solving skills.
- Ability to multitask and work effectively in a production-driven environment.
- Familiarity with food safety standards, compliance procedures, and production documentation is advantageous.
