About the Role

The Executive Assistant to the CEO role is a critical support function for our dynamic CEO in the optometry sector, based in Paarl. The successful candidate will provide high-level administrative support, ensuring optimal prioritization and efficient use of time.

Key Responsibilities

  • Manage the CEO’s calendar, appointments, and scheduling, ensuring efficient use of time and optimal prioritization.
  • Coordinate meetings, conferences, and travel arrangements, including logistics and accommodations.
  • Screen, prioritize, and respond to emails, calls, and inquiries on behalf of the CEO.
  • Draft, proofread, and edit correspondence, reports, presentations, and other documents as needed.
  • Handle sensitive and confidential information with utmost discretion and professionalism.
  • Prepare agendas, materials, and presentations for meetings attended by the CEO.
  • Attend meetings, take accurate minutes, and distribute summaries and action items to relevant stakeholders.
  • Support the CEO in managing projects, initiatives, and action plans, ensuring timely follow-up and completion.
  • Collaborate with cross-functional teams to track progress and maintain project timelines.
  • Interact with internal and external stakeholders, including clients, partners, and board members, on behalf of the CEO.
  • Organize and maintain files, records, and documents related to the CEO’s activities and responsibilities.
  • Provide timely access to information and resources needed for decision-making and planning.
  • Manage the CEO’s technology tools, including devices, software, and communication platforms.
  • Provide technical support and troubleshoot any issues related to technology and tools.

Requirements

  • Strong administrative skills with experience in supporting senior executives.
  • Excellent communication, organizational, and time management skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficient in Google Calendar and other productivity software.
  • Strong analytical and problem-solving skills.
  • Experience with project coordination and follow-up.

Qualifications

  • Formal education in Business Administration or related field (Bachelor’s degree).
  • Relevant experience as an Executive Assistant or similar role.

Salary & Benefits

Salary: R15K – R20K per month (depending on experience).
