Responsibilities
- Data Capturing: Accurately entering daily receipts and supplier invoices into the accounting system.
- Basic Reconciliations: Assisting with simple bank and petty cash reconciliations to match records.
- Document Management: Organizing, scanning, and filing job cards, invoices, and vehicle service histories.
- Front-Desk Support: Answering phones, greeting clients, and directing enquiries to the relevant workshop staff.
- Appointment Scheduling: Logging vehicle bookings into the calendar and confirming times with customers.
- Invoicing Assistance: Generating basic customer invoices based on completed workshop job cards.
- Office Housekeeping: Monitoring office supplies/stationery and ensuring the reception area remains professional.
- Compliance Prep: Sorting and preparing folders for monthly VAT or SARS filing under supervision.

- Financial Record Maintenance: Supporting the integrity of the business accounts by ensuring all financial data captured accurately and timely.
- Administrative Flow Management: Coordinating office processes to ensure smooth communication between the workshop, management, and clients.
- Customer Relationship Support: Acting as a professional first point of contact to enhance the brand’s reputation for service excellence.
- Operational Documentation: Managing the lifecycle of business records, from initial customer inquiry to final archived service history.
Minimum Requirements
- South African Unemployed youth between the ages of 18 and 34.
- Must not have participated on the YES programme before.
- Matric.
- Digital Proficiency: Competency in the Microsoft Office Suite, specifically the ability to use Excel for basic data entry and Outlook for professional email correspondence.
- Numerical Accuracy: A high level of attention to detail with a typing speed of at least 30 words per minute to handle data capturing efficiently.
- Communication Skills: Strong verbal and written English proficiency to effectively communicate with customers and suppliers.
- Organizational Ability: The capacity to manage a minimum of 10–15 service bookings daily while maintaining an orderly filing system.
- Technical Aptitude: A willingness to learn cloud-based accounting software like Xerox or QuickBooks and workshop management portals.
- Professional Conduct: A commitment to punctuality and the ability to maintain 100% confidentiality regarding sensitive client and financial data.
- Problem Solving: The ability to follow multi-step instructions accurately and identify discrepancies in basic documentation.
