Job Summary

Supportive role to the Group Legal & Compliance Officer as well as the Directors by attending to administrative support following internal processes. Main Duties/Key Results Areas: Assist with the smooth operation and communication of administrative processes. Assist with placing letters on company letterheads. Write and distribute emails, correspondence memos, letters, faxes, forms, and documents. Regularly audit the compliance status of customer trade account applications. Prepare regularly scheduled reports as may be required, e.g. the compliance status of customer trade account applications, Letters of Demand, Credit Insurance claims, etc. Assist with the updating of paperwork/spreadsheets. Assist with the receipt, delivery, and accessibility of legal documents. Safekeeping of official records and legal documents. Attending to scanning and filing of paperwork Manage, organise and maintain data in electronic and hard copy systems as required. Vetting and completion of Trade Account Applications. Liaising with customers to obtain the required information and supporting documents. Collating and vetting documents received from customers. Attend to daily follow-ups on outstanding requirements and documentation. Assist in maintaining the compliance status of trade account applications continuously. Assist with credit limit applications as well as follow-up and liaising with the Credit Insurance companies in this regard. Assist with the collation of insurance claims. Assist with collating claim documents for handover to attorneys. Assist with creating customer accounts, and maintaining, and entering information on Syspro/Pastel. Assist with maintaining customer information with the Credit Insurance companies in relation to changes of insured limits, payment terms and other changes such as name changes, address changes, etc. Assisting with queries regarding accounts on Syspro, Pastel, Credit Insurance cover, and trade account applications. Completion and collation of Supplier Credit Applications. Performing general office duties and errands. Perform general administrative tasks to ensure Legal Services function effectively. All and any other related tasks & duties as expected from the employer from time to time. Minimum Qualifications and Experience: Matric. 2 Years relevant experience. Background in compliance or banking would be ideal. Relevant qualification/diploma advantageous. Proficient in the use of MS Office Suite, Syspro and Pastel. Related experience with Credit Insurance companies e.g. Credit Guarantee Insurance Corporation (CGIC), Coface and Euler Hermes advantageous. Experience in a compliance environment (banking / insurance) advantageous. Soft Skills: Self-motivated person capable of exercising his/her own discretion and willing to follow instructions. Ability to work independently. Maintain confidentiality of Group / Company information and legal documents. Meticulous attention to detail. Accuracy and efficiency. Excellent organisational, administrative and filing skills. Shows initiative and is proactive. Results and goal orientated. Customer liaison telephonically, by correspondence and in person. Ability to work in a highly pressurized and fast-paced environment and to effectively manage high work volumes. Energetic and enthusiastic. Professional conduct and correspondence with internal and external parties. Deadline driven. Strong, accurate typing skills / ability. Excellent command of the English language Speak, read, and write.
