Requirements:

Grade 12 or equivalent Tertiary qualification in Finance or Administration Experience working on a CRM system, preferably XPLAN Experience working on Astute will be beneficial

Duties:

Reception: Stand in occasionally when receptionist is on leave or in training. Effective and efficient reception duties Manage and prioritize incoming and outgoing clients, guests, deliveries, and mail (Gatekeeping) Instruct and assist Jabulani regarding daily deliveries. Telephone and switchboard (Stand by) Answer telephone within four rings. Excellent telephone etiquette (externally, internally) Filter and transfer calls Taking and communicating messages MS Teams Personal Assistant to Financial Planners Making client appointments, confirming details Confirming client appointments as and when needed Servicing several alphabet letters (all surnames starting with) ±25% of client files currently Calling and receiving client calls Keeping records on CRM & shared drive. Handling client queries/requests / instructions. Involving planner when advice and / or intermediary service required Load and update client information (CRM and Product Providers) Servicing several alphabet letters (clients) Demonstrate a proper understanding of administrative processes Preparing for client appointments (prospects, new and existing clients). This includes administrative preparations for financial planning, reviews, and other appointments up to the stage where the para-planner or financial planner takes over (including the use of ASTUTE) Assisting planners during client appointments at the office e.g., making ID copies Executing administrative part of implementation on instructions from the planner, post-client appointments Preparing and submitting product provider forms using product provider online systems Record keeping on both CRM and shared workspace CRM tasks create, execute, complete CRM workflows initiate, follow all steps, complete Consultant: Monique Coetzee – Dante Personnel Pretoria Silver Lakes
