About the Role
We are seeking a highly skilled and experienced Receptionist / Campus Administrator to join our team at West Coast Personnel in Stellenbosch. As the first point of contact for students, staff, and visitors, you will provide exceptional administrative support, ensure seamless day-to-day operations, and contribute to the overall success of our campus community.
Key Responsibilities
- Assist students with course information and general queries (in person, telephonically and via email)
- Provide administrative support to students
- Register new and current students on SIMS
- Process payments, card transactions and payment plans
- Assist renewal students with portal registrations
- Prepare travel visa letters
- Process programme/structure/exam alterations and module cancellations
- Follow up on outstanding student payments
- Retain students through professional and timeous customer service
- Manage the switchboard and reception desk
- Coordinate incoming calls, including national sales contact number
- Maintain a neat, professional reception area
- Keep notice boards and signage current
- Assist with day-to-day campus operations
- Coordinate venue bookings for classes, meetings, workshops and functions
- Ensure rooms are set up, signage in place, and security arranged
- Liaise with cleaners to maintain a neat and tidy environment
- Monitor classroom equipment and report maintenance issues to the Campus Head and landlord
- Order and maintain stock of catering and stationery supplies
- Assist with Graduation, Registration Days, Orientation, Info Evenings and other campus events
- Monitor Health & Safety criteria and ensure compliance with First Aid and Fire policies
Requirements
- Relevant tertiary qualification
- Strong interpersonal skills – a genuine people’s person
- Intermediate to advanced MS Office skills (Word, Excel, Outlook essential)
- Exceptional organisational ability with a structured administrative approach
- Professional telephone manner and presentation
- Ability to multitask and work under pressure
