About the Role

As a Project Manager at Aleon Pty Ltd, you will be responsible for ensuring effective project management that enables delivery from start to end while maintaining optimal relationships with clients and learners. This role requires strong leadership skills, excellent communication abilities, and the ability to work well under pressure.

Key Responsibilities

  • Client Liaison:
  • Customers are satisfied with the project roll-out and delivery.
  • Hold monthly status meetings with clients and deliver a monthly status report to the clients and Ops Manager.
  • Identify possible project risks, communicate, and manage risk proactively.
  • Identify possible up sell opportunities and liaise with the sales team to trigger cross and up-sell.
  • Communicate with learners regularly to keep them informed of client expectations and to address possible concerns. Keep the client informed of issues.
  • Project Management:
  • Formulate project plans and involve the necessary role players.
  • Ensure effective resource allocation.
  • Ensure roll-out plan & learning program timetables are implemented according to schedule. Any authorized changes are made and communicated to all stakeholders involved.
  • Anticipate and recognize problems, assess alternatives and recommend solutions.
  • Manage engagement performance versus work plan and budget in areas of responsibility.
  • Report on project status and progress to the Operations Manager on a weekly basis.
  • Ensure that project files are maintained according to set standards and that the files contain project checklists which are to be updated real time as delivery occurs.
  • Project Closure and Evaluation:
  • Prepare close-out report and conduct close-out meetings with clients which should include debriefing in order to ensure continuous improvement.
  • Ensure that project documents are filed, cleaned up and archived, either physically or electronically.
  • Learning facilitation:
  • Training Administration
  • Ensure that training and learner materials loaded on the portal are checked a week before training starts.
  • Facilitator packs are prepared.
  • Flights, accommodation, car hire & venues are booked.
  • Facilitation
  • Ensure that facilitators are prepared for and facilitate learning program as stipulated in Project Schedules.
  • Ensure that quality standards are met and that the relevant policies and processes are adhered to.
  • Manage the classroom and facilities professionally at all times.
  • Protect company’s intellectual and physical property and assets.
  • Evidence Gathering & POE Administration:
  • Learner PoEs is created and kept up to date, if done manually.
  • Learner evidence is assessed according to the schedule.
  • Receipt and dispatch of learner PoEs are tracked, if done manually.
  • Ensure that evidence collection takes place within the agreed timelines.
  • Assessment:
  • Assessments will be carried out as and when necessary, in the correct manner and format as required by the company and Seta ETQA standards, policies and procedures.
  • Assessments will be completed within the specified timeframes given by management.
  • Feedback is given to learners as per ETQA requirements.
  • Moderation:
  • If the Project Manager is an assessor or moderator, then he/she will be expected to perform moderation duties from time to time, in line with the company and Seta ETQA standards, policies and procedures.
