About the Role
We are seeking a highly organised and hands-on Office Manager to oversee daily office operations, administration, customer care, compliance, and internal coordination. This role sits at the centre of our business and requires someone who can manage people, processes, and pressure without losing the plot. As the central point of contact, you will be responsible for keeping the office running smoothly, teams aligned, numbers accurate, and problems resolved fast.
Key Responsibilities
- Process and manage monthly debit orders
- Handle failed payments, follow ups, and reconciliations
- Oversee client billing related queries
- Assist with basic financial reporting and controls
- Liaise with finance and external service providers when required
- Manage the Admin and Customer Care teams
- Provide clear direction, task allocation, and daily priorities
- Monitor staff performance and productivity
- Recruit new staff members as required
- Coordinate onboarding of new employees
- Arrange and conduct staff training and refresher sessions
- Manage leave schedules, attendance, and basic HR administration
- Handle disciplinary processes when required
- Compile weekly and monthly reports for the Operations Manager
- Monitor onboarding, installations, and service activations
- Track cancellations, suspensions, and retention efforts
- Manage and report on churn and retention statistics
- Oversee recoveries coordination and tracking
- Ensure internal processes are followed consistently
- Manage retention processes and cancellation requests
- Initiate and manage legal action for defaulting clients
- Coordinate with legal partners and ensure documentation is accurate
- Handle escalated customer complaints and sensitive cases
- Ensure professional and timely client communication
- Manage stock levels and stock movements
- Track devices issued, returned, and written off
- Coordinate stock orders and supplier communication
- Ensure stock controls and reporting are maintained
- Manage the company SIM card accounts
- Monitor SIM usage, activations, suspensions, and cancellations
- Liaise with network providers when required
- Ensure accurate SIM allocation to devices
- Manage internal tickets, tasks, and escalations
- Monitor turnaround times and resolution quality
- Ensure issues are routed to the correct departments
- Follow up on unresolved or overdue queries
- Oversee day to day office operations
- Ensure the office is functional, organised, and compliant
- Manage office supplies and service providers
- Enforce company policies and procedures
- Act as the main coordination point between departments
- Support management with ad hoc operational tasks
Requirements
Proven experience in an Office Manager or Senior Admin role
Strong leadership and people management skills
Excellent organisational and multitasking ability
Strong attention to detail and follow through
Confident handling difficult clients and sensitive situations
Comfortable working with systems, reports, and operational data
Strong communication skills
Ability to work under pressure and meet deadlines
Qualifications
- Formal education/certifications (Bachelor’s, LLB, Matric, etc.)
