Job Title: Administrator – Service Advisor (Non-Technical) Location: Alberton Company: Motus VW Alberton Position Type: Full-time Job Summary: We are seeking a detail-oriented and customer-focused individual to join our team as an Administrator – Service Advisor. The primary responsibility of this role is to provide administrative support to the service department and assist customers with scheduling appointments, coordinating service requests, and providing an exceptional customer service experience. To provide prompt and quality services to customers relating to the service and repairs of vehicles, acting as an interface between the technician and the customer to ensure cost effective repair and service to both parties. Key Responsibilities: – Answer incoming calls and emails from customers and provide prompt and efficient service – Schedule service appointments and ensure accurate record-keeping of customer information – Coordinate service requests with technicians and ensure timely completion of work – Provide customers with updates on the status of their service requests – Assist with billing and invoicing processes – Handle customer complaints and resolve issues in a professional and timely manner – Maintain accurate and organized records of service transactions – Assist with other administrative tasks as needed. – To maintain excellent standards of departmental administration, such as service sheets, invoices, job cards, warranty claims, authorizations, – To ensure accurate ‘verbatim’ customer information to uphold – To maintain customer database with contact details and – To assist dealership in achieving industry standards of process Requirements: – Matric Certificate or NQF 4 – Previous experience in an administrative or customer service role preferred – Strong communication and interpersonal skills – Ability to multitask and prioritize tasks effectively – Proficient in Microsoft Office Suite – Attention to detail and strong organizational skills -Basic technical understanding Essential). -Additional language would be an Advantage. -2-3 yrs. in automotive service Industry. -OEM Group South Africa product knowledge. -Internal procedures and -Basic technical understanding & background. -Basic mathematical knowledge (numeracy). -Operating OEM systems namely. – Ability to work well under pressure and in a fast-paced environment Skills Required: Oral communication Administration skills. Written communication People / customer interaction skills Diplomacy / resilience / dealing with Problem resolution / decision-making.
