About the Role
The Conveyancing Secretary role at ARCS involves providing administrative support for conveyancing transactions, ensuring accuracy and compliance with legislative and regulatory requirements. The successful candidate will be responsible for drafting and preparing conveyancing documents, managing transfer processes, and liaising with clients and stakeholders.
Key Responsibilities
- Drafting and preparation of conveyancing documents for lodgment in the Deeds Office
- Managing the full transfer process from instruction through to registration
- Handling subdivision and consolidation of land
- Attending to sectional title matters, including scheme registrations, opening of sectional title registers, and transfers
- Processing conventional (full title) property transfers
- Assisting with township establishment processes
- Drafting and preparing notarial deeds, including servitudes
- Liaising with clients, estate agents, banks, and the Deeds Office
- Ensuring accuracy and compliance with all relevant legislative and regulatory requirements
- Managing diaries, follow-ups, and maintaining file integrity throughout the transaction lifecycle
Requirements
- Minimum of 8 years’ experience as a Deeds Typist / Conveyancing Secretary
- Proven experience across transfers, sectional title, subdivisions/consolidations, and notarial work
- Strong working knowledge of South African conveyancing procedures and Deeds Office practices
- Proficiency in conveyancing software systems (e.g. GhostPractice, Lexis Convey or similar)
- High attention to detail with strong administrative and organisational skills
- Ability to work independently and manage high volumes under pressure
- Strong communication skills, both written and verbal
