About the Role
We are seeking an experienced and skilled Legal Secretary to join our team in Pretoria. As a key member of our administrative support team, you will provide high-quality administrative services to our attorneys and clients, ensuring the efficient operation of our chambers.
Key Responsibilities
- Draft, type, format, and amend: Pleadings, affidavits, particulars of claim, notices, legal opinions, court documents, heads of argument, and legal correspondence
- Screen calls, handle messages, and liaise professionally with: Attorneys, Clients, Counsel, Courts, and Service Providers
- Prepare memoranda, reports, and formal correspondence
- Manage diaries, consultations, court dates, deadlines, and reminders
- Coordinate consultations, meetings, and legal appointments
- Capture time entries and ensure accurate billing and fee finalisation
- Generate invoices, assist with collections, and address Client payment queries
- Allocate disbursements and support fee recovery processes
- Assist with the preparation of court bundles and supporting documentation
- Coordinate business travel arrangements, accommodation, and itineraries
- Manage, archive, and retrieve files
- Ensure all documents are professionally presented and submitted within required deadlines
Requirements
- Minimum 3-5 years experience in a Legal Secretarial or Executive PA role within the legal profession
- Proven experience supporting Directors, Partners, Advocates, or other Senior Legal Professionals
- Strong experience in drafting, formatting, proofreading, and typing legal documents
- Dictaphone typing experience is essential
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Experience with QuickBooks, capturing time entries, and finalising fees
