The Warehouse Manager is responsible for the overall management of warehouse operations, ensuring efficient storage, inventory management, and distribution of products for both organizations. This role involves overseeing warehouse structures and procedures, forecasting supply and demand, and maintaining optimal stock levels to prevent overstocking or shortages. The Warehouse Manager is instrumental in streamlining supply chain processes, managing vendor relationships, and ensuring compliance with ISO and health and safety standards. Key responsibilities include international freight management, cost-effective importing and exporting, and ensuring adherence to best practices for stock storage, including cold chain management and FIFO principles. The role also requires the effective use of inventory software to track stock movement, manage purchase orders, and resolve discrepancies with vendors. The Warehouse Manager leads a team of warehouse associates, monitors their performance, and implements training programs to enhance efficiency and ensure the safe operation of equipment. Additionally, they collaborate with executive management to set strategic goals, prepare annual budgets, and achieve financial objectives by analysing variances and implementing corrective actions. Forecast supply and demand while making recommendations on which items to order and restock to prevent overstocking and running out-of-stock (OOS). Analyzes supply chain data to ensure the uninterrupted availability of stock. Manage purchasing orders for incoming products, equipment, services, and supplies. Utilizes the organizations inventory software platform to check in products and compare deliveries to outstanding purchase orders are complete. Collaborates with the purchasing group to determine when products are missing from deliveries and contact vendors regarding faulty or incorrect products received. Allocate new equipment set numbers on new POs in alignment with Mondays. Managing cost-effective importing and exporting of inventory, inventory costing, vendor liaison, and vendor management. Maintain accurate records of inventory and stock management systems according to set standards. International freight management. Manage stock storage processes (Cold Supply Chain and FIFO), including tagging, boxing, and labeling. Manage warehouse associates, monitor work performance (Receiving, Weekly cycle counts, Quarterly Stock Takes, Financial Year-end Stock Take and product inspection), ensure the safe use of warehouse equipment, and lead training initiatives to improve employees. Manage consignment sets, as well as get quarterly stock takes from distributors and maintain inventory software platforms. Set warehouse and team goals in collaboration with executive management and other team leads. Staff Progression Planning. Manage implementation and adherence to ISO/Health and Safety requirements. Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions. Educational Requirements: Minimum: Matric Certificate (Grade 12). A diploma or degree in Logistics, Supply Chain Management, Warehouse Management, or a related field. Certifications: Certification in Inventory or Supply Chain Management. Behavioural Competencies: Reliability and Accountability: Consistently ensures warehouse operations run smoothly and adheres to and achieves organizations objectives. Proactive Problem-Solving: Anticipates challenges and implements effective solutions. Customer Focus: Ensures timely and accurate deliveries to meet client expectations. Adaptability: Comfortable working in a fast-paced environment with shifting priorities. Warehouse and Inventory Management: 5 years of experience in warehouse management or a related role, preferably in the healthcare or medical device industry. Demonstrated success in ensuring efficiencies against objectives, managing stock levels, conducting stock takes, and maintaining inventory accuracy. Supply Chain and Vendor Management: Experience with international freight management and cost-effective importing/exporting practices. Proven ability to manage vendor relationships and resolve issues related to faulty or incomplete deliveries Team Leadership: Previous experience leading a team, conducting training, and monitoring performance. Experience in staff development and progression planning. Financial and Budget Management: Experience in preparing annual budgets, analyzing variances, and implementing corrective actions to meet financial goals.
