About the Role
We are seeking an experienced and detail-oriented Reservation Administration Controller to join our team at a leading Safari Company based in Westlake, Cape Town. As a key member of our administration team, you will be responsible for ensuring the accuracy and timeliness of travel shop reservations and providing back-up support to our reservation consultants.
Key Responsibilities
- Accuracy and timeous processing of booking information: Ensure that CRM information is received timely and entered into the system.
- Checking on CRM information and assisting consultants in getting the information timeously – including follow-up with consultants as needed.
- Running camp calendars to review bookings for accuracy and completeness, investigating any discrepancies and rectifying with consultants.
- Assisting consultants with problem-solving and improving booking conversion ratios by assisting with last-minute bookings and checking availability with camps directly.
- Booking 3rd party products, including confirmations, cancellations, and checking invoices to vouchers.
- Performing a limited role and responsibility of a reservation/sales consultant as required.
Requirements
- Minimum of a Matric Certificate
- A formal qualification in travel & tourism
- At least 1 – 2 years in reservation administration with a similar role and responsibility
- Knowledge of TourPlan / Wetu
- Product knowledge of Botswana, Namibia, and South Africa
- Excellent written and oral communication skills (English fluency is a requirement)
- Good interpersonal skills
- Ability to deal appropriately with agents, camps, and consultants, as well as handle complaints or queries that may arise.
- Service-oriented and detail-oriented while coping with a large volume of work.
- Ability to work fast and accurately, multitask, and work under pressure.
- Highly organised, able to keep track of multiple threads of work.
- Comfortable with technology, able to learn our reservations system efficiently.
