REQUIREMENTS:
- Resides in the Northern Suburbs.
- Owns reliable transport.
- Fully bilingual.
- 3–5 years’ experience in lease administration within a property firm or similar role.
- Advanced proficiency in Microsoft Excel, Word, and Outlook.
- Experience in FICA compliance.
- Legal secretary or paralegal experience in property, conveyancing, or commercial law.
- Experience compiling lease documentation.
- Strong understanding of contract structure, legal terms, and filing standards.
- Exceptional attention to accuracy and detail, organizational ability, and time management.
- Professional written and verbal communication skills.
- Experience with tenant onboarding and legal compliance processes.
DUTIES:
Lease Documentation & Administration:
- Draft, format, proofread, and manage lease agreements, renewals, addenda, cessions, and terminations.
- Maintain standardized lease templates and ensure consistency of legal clauses.
- Manage lease execution, filing, and accurate record-keeping (digital and physical).
- File and archive executed leases per company policy.
- Maintain and update leasing spreadsheets with tenant, renewal, and expiry data.
FICA & Legal Compliance:
- Collect and verify FICA documentation prior to lease finalization.
- Monitor expiry of compliance documents, including IDs, proof of address, and insurance certificates.
- Maintain an auditable and compliant filing system for all leases and FICA records.
Tenant Onboarding, Correspondence & Communication:
- Prepare and issue welcome letters, lease packs, and onboarding documentation for new tenants.
- Handle professional correspondence relating to lease administration and documentation.
- Maintain accurate tenant records, contact lists, and communication logs.
Reporting & Administration:
- Compile monthly lease and tenant reports covering new leases, renewals, expiries, and pending matters.
- Maintain accurate records of lease commencements, expiries, deposits, and guarantees.
- Maintain a detailed tenant summary spreadsheet and generate ad hoc reports for management as required.
- Provide structured administrative support and liaise with the Portfolio Manager for operational or financial clarifications.
HOURS:
- Monday to Friday: 08:00 – 17:00
