Job Description
A large four-star hotel in Cape Town is seeking a dedicated Meetings and Events Reservations Agent to join its team. This position requires excellent organisational skills and the ability to manage multiple client requirements with precision.
Duties and Responsibilities:

Handle all incoming meeting and event enquiries via email, telephone, and online platforms in a timely and professional manner

Prepare detailed quotations, contracts, function sheets, and pro-forma invoices for clients

Ensure that all details relating to group bookings and events are accurately captured on the reservations system

Maintain regular communication with clients to confirm requirements, changes, and special requests
-
Coordinate with departments including F&B, banqueting, housekeeping, and front office to ensure all arrangements are seamless

Monitor and update event diaries and booking systems to avoid duplication or conflicts
-
Proactively upsell hotel services, packages, and facilities to maximise revenue

Assist with billing queries and ensure correct charges are applied

Prepare weekly and monthly reports on reservations, revenues, and cancellations

Maintain accurate filing and record keeping for all bookings and correspondence

Provide administrative support to the events team and assist in operational set-up when required
Requirements:
-
Previous experience in hotel reservations, and events (minimum of 2 years, 4* or 5* property)

Knowledge of hotel reservation systems and MS Office applications

Excellent communication and interpersonal skills, both written and verbal

Strong organisational skills and the ability to prioritise under pressure

A guest-focused attitude with high attention to detail

Ability to work flexible hours when required
