Job Description

POSITION IMMEDIATELY AVAILABLE Our client with a National footprint is looking for a candidate that can fulfill the following: Formal Education: Degree in finance, accounting or related field. Certificate in payroll (advantageous) Experience: 6-8years experience in payroll administration Knowledge: Labour Legislation impacting on payroll Payroll calculations SARS requirements including tax directives PaySpace would be an advantage Proficiency in the following: Excel, Word, and PowerPoint Duties: Philosophy To ensure that payroll information is always correct and checked before being processed Processes: Process monthly payroll transactions on the Payroll system (appointments, increases, terminations, increases, transfers, contributions, and deductions, etc) Communicate payroll deadlines, policies and procedures Process adjustments on the Payroll system Prepare all monthly reconciliations (salary, tax, medical aid, provident funds) Prepare payroll-related management information as requested as well as providing payroll and leave reports to the business units monthly Load invoices on SAGEX3 with adequate reconciliations to the payroll system Prepare payment requisitions for all salary-related transactions, including directors remuneration and facilitate payment with the respective business units Maintain adequate record-keeping and support for transactions recorded on the Payroll system Register companies with the relevant authorities (SARS, Workmens Compensation and Department of Labour) Prepare, reconcile and submit declarations in respect of EMP201s, EMP501s, UIF declarations and Compensation declaration) and facilitate payment with the respective business units Generate and release employee IRP5s and payslips Administer the Groups Medical Aid and Provident Fund portals including updating information, requesting schedules and querying inaccurate information provided Provide support to the HR Team in terms of process integration and other information required (including but not limited to preparation on dummy payslips, manual leave calculations etc) Prepare information for the internal and external auditors Primary liaisons with the PaySpace consultants in respect of the Payroll system Administer the payroll system and other related controls, including access controls and back-up management (including by not limited to new entity set ups, changing tax rates, monthly cut off deadlines) Assist with queries from the respective authorities (SARS, Workmens Compensation and Department of Labour), internal auditors and external auditors Assist with all staff related queries on a daily basis Monthly maternity leave salary calculations People Ability to communicate with a variety of individuals on all levels in order to obtain, confirm information and resolve queries Work effectively in a team

Payroll Administrator Become the backbone of an efficient finance and HR operation Blackheath | 8:00am to 16:30pm | R15,000 per month (Negotiable) About Our Client Our client is a well-established company in the construction and scaffolding sector, known for its strong operational systems, close-knit culture, and commitment to accuracy and compliance. The Role: Payroll Administrator This role exists to ensure all payroll and HR administration processes run smoothly, accurately, and on time. You will manage end-to-end payroll inputs, staff attendance records, leave management, labour cost reporting, and selected HR functions. Working closely with the Financial Manager, youll play a key role in maintaining compliance, reducing errors, and supporting both operational and site teams with timely information. Key Responsibilities Capture and process all payroll inputs, including clock-ins, overtime, leave, allowances, and deductions Prepare and distribute salaries and wages accurately and on schedule Assist the Financial Manager with month-end reporting, reconciliations, and payment processing Manage control systems for late coming and absenteeism Handle HR administrative tasks such as appointments, terminations, and general HR queries Reconcile all labour broker invoices accurately Assist with switchboard duties, hearing documentation, and HR-related paperwork Provide accurate labour costing for all sites Monitor, verify, and record all leave applications (sick, annual, family responsibility) About You 2 to 4 years of experience in payroll administration (construction or industrial environment advantageous) Strong understanding of payroll processes, labour laws, and leave management Experience in handling wage and salary payrolls with high accuracy Proficient in Excel and payroll/HR systems Highly organised, detail-oriented, and able to meet strict deadlines Comfortable working with both admin and operational teams Strong communication skills and a proactive, reliable work ethic Ability to manage confidential information with discretio

Prepare SAGE 300 People Salary system payroll knowledge of Sage 300 people Import functions Loading of deductions and earnings Attending to queries on leave, hours paid and ETI setup Payroll checking GL Setup Drawing reports and setting up of standard reports Reports Prepare monthly/Bi-weekly Roll overs Draw reports from Sage for managers Excel knowledge Know how to do formula setup V-lookup / Pivots Setting up of reports (not necessarily charts) New worksheets Movement around multiple sheets Minimum Requirements Matric Certificate Management of staff good understanding of what it takes to maintain and develop the most productive relationships Responsible for preparation and processing of the monthly payroll on VIP SAGE 300 People payroll system (this includes the entire cycle of payroll processing from capturing of new employees, leave, terminations, claims, etc.) Maintain a proper document control system Correct and timeous payments of salaries Correct payments to third parties Responding to employees queries timeously Confidentiality and security of personal information Confirmation of employment UIF19 form administration Administer 3rd party payments and balances owing Obligations to Employer: Ensure prompt and accurate payment of salaries Comply with all Company policies and procedures relevant to salaries and procurement Ensure that the salary administration takes place in such a manner that a healthy and trustworthy relationship will exist between the Company and its employees Monthly reporting to managers, or as needed Obligations to Operational Department: Monthly receiving of Manpower reports and all applicable admin Timeous distribution of payslips Timeously informing management and employees of applicable payroll information Training and Development functions: Correct deductions of Income Tax – Allowances and benefits – Expenses Minimum of 2 years SAGE experience SAGE 300 People Payroll experience for large groups of employees an advantage (over 200 employees) Advanced excel knowledge Ability to work under pressure Problem solving Think outside the box Deadline driven Team player Good verbal and written communication skills Organised (work systematically) Ability to multi-task Ability to plan and prioritise Responsibility, dependability and trustworthy
