About the Role

Hire Resolve is seeking a highly organized and detail-oriented Administration Assistant & Customer Liaison to join their team in Richards Bay. The ideal candidate will be responsible for supervising all duties performed by staff, including weighbridge and operational personnel, when no site supervisor is present. Our client requires an individual with excellent communication skills, proficiency in Microsoft Office Suite, and knowledge of power BI.

Key Responsibilities

  • Supervise staff, including weighbridge and operational personnel, when no site supervisor is present
  • Send out reports to customers on stock accountability
  • Order office essentials and manage office operations
  • Ensure there are personnel for the weighbridge and that FEL readings are accurate when checking scales
  • Solve all staff problems, technical or staff-related
  • Perform ad-hoc duties assigned by management
  • Scan and upload RMTS documents to Core Drive
  • Visit all sites to ensure everything is in order, including checking printers and items that need attention
  • Supervise operators when loading trains
  • Ensure FELs are filled with diesel and checked at the weighbridge before loading trains
  • Remind WB operators how to perform their duties
  • Assist with issues related to the clocking system and send out release documents to Transnet
  • Sort out data received from the weighbridge, as recording of data is often incorrect
  • Keep track of weighbridge rosters
  • Ensure all weighbridges are cleaned on agreed dates with Sandi
  • Scan customer-loaded-out tickets
  • Communicate with customers

Requirements

  • Degree or Diploma in Administration
  • Knowledge of power BI (not necessarily on an IT spectrum) and how to get reports from the platform and insert data into it
  • MS Excel – ability to read and manipulate data on spreadsheets
  • Excellent Communication skills
  • Excellent proficiency in full Microsoft Office Suite & other programs

About the Role

Hire Resolve is seeking a proactive Administration Assistant & Customer Liaison to join their team in Richards Bay. This role is responsible for overseeing staff duties, weighbridge and operational functions when a site supervisor is unavailable. We are looking for a highly organized and detail-oriented individual who can thrive in a fast-paced environment.

Key Responsibilities

  • Maintain stock accountability by generating and distributing reports to customers.
  • Manage office supplies and ensure efficient office operations.
  • Ensure sufficient staffing for the weighbridge.
  • Oversee the cleanliness of weighbridges and verify accurate FEL readings when checking scales.
  • Address and resolve technical or staff-related issues.
  • Perform ad hoc duties as assigned by management.
  • Scan and upload RMTS documents to the core drive.
  • Conduct site visits across three locations to ensure operational efficiency, including printer functionality and necessary maintenance.
  • Supervise operators during train loading.
  • Ensure FELs are refueled and checked at the weighbridge before train loading.
  • Provide guidance to weighbridge operators, ensuring they adhere to operational procedures.
  • Assist employees with clocking system issues and handle the distribution of release documents to Transnet.
  • Validate and correct weighbridge data, ensuring accurate records.
  • Maintain and track the weighbridge roster.
  • Coordinate the cleaning schedule for weighbridges in collaboration with Sandi.
  • Scan and archive customer load-out tickets.
  • Serve as the primary point of communication for customers.

Requirements

  • Degree/Diploma in Administration.
  • Knowledge of Power BI (ability to generate reports and input data).
  • Proficiency in MS Excel (data reading and manipulation).
  • Strong communication skills.
