Job Description

Job Purpose The Executive Secretary will provide high-level, confidential administrative and organisational support to all Executives across the company. This role ensures the smooth coordination of executive activities, effective communication, and efficient office administration, enabling Executives to focus on strategic and operational priorities. Executive Support Provide comprehensive administrative support to multiple Executives simultaneously Manage complex executive calendars, schedules, and meeting logistics Coordinate internal and external meetings, including preparation of agendas, packs, and minutes Handle executive correspondence, emails, and calls with professionalism and discretion Prepare, format, and proofread executive-level documents, reports, and presentations Communication & Coordination Act as a central point of contact between Executives, senior management, and external stakeholders Coordinate information flow across Executives to ensure alignment and efficiency Follow up on action items and deadlines arising from executive meetings Liaise with departments on behalf of Executives to obtain information and updates Travel & Logistics Arrange domestic and international travel, accommodation, and itineraries Manage expense claims and travel documentation for Executives Coordinate executive events, board meetings, and off-site sessions Office & Administrative Management Maintain organised electronic and physical filing systems Handle confidential and sensitive information with the highest level of discretion Support governance processes such as board packs, resolutions, and compliance documentation (where applicable) Assist with ad-hoc projects and executive initiatives as required Minimum Requirements Education & Experience Relevant diploma or degree in Office Administration, Business Administration, or related field 35 years experience in an Executive Secretary or Executive Assistant role will be an advantage Skills & Competencies Exceptional organisational and time-management skills Strong written and verbal communication skills High attention to detail and accuracy Ability to prioritise, multitask, and work under pressure Strong interpersonal skills with the ability to engage at executive level Absolute discretion, professionalism, and integrity Technical Skills Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) Strong calendar, email, and document management skills Experience with virtual meeting platforms and document-sharing tools Personal Attributes Proactive and solutions-oriented Calm, resilient, and adaptable Trustworthy with high emotional intelligence Service-driven with a strong sense of accountability Working Conditions Full-time position May require occasional extended hours to support executive schedules
