About the Role
The Warranty and Costing Clerk role at Mototeam (Pty) Ltd involves ensuring accurate and up-to-date warranty administration, processing claims, and maintaining job card accuracy within the service department.
Key Responsibilities
- Ensure all warranty administration within the service department is accurate and up to date
- Register vehicles under warranty on the warranty system
- Process warranty and maintenance claims accurately and timeously
- Check and maintain job card accuracy (labour, costs, VIN, engine numbers, service history)
- Ensure correct allocation of labour and repair costs
- Process invoices for outwork accurately
- Prepare quotations where required
- Monitor and correct warranty claim errors and job card reversals
- Check work in progress and daily invoice system updates
- Track claim queues, debtors, outstanding cash, and age analysis reports
- Follow up on delayed payments, queries, and car hire updates via dealer portal
- Compile and submit required reports daily/weekly
- Assist with service administration and service calls when required
- Adhere strictly to manufacturer warranty policies and procedures
- Perform self-audits on job cards to ensure accuracy
- Audit adherence
- General administration of day-to-day invoices
Requirements
- Matric
- Minimum of 3 years Warranty claims & costing experience within a Franchise Motor Dealership
- Literate on Autoline / Kerridge / Evolve / Pinnacle
- Strong attention to detail and strong admin skills
- Good customer care skills
- Good interpersonal and communication skills
- Ability to work under pressure in a structured OEM environment
