About the Role
Hire Resolve, a leading client in the Car Rental industry, is seeking an experienced Admin Supervisor to join their team in Cape Town, Western Cape. We are looking for a highly organized and detail-oriented individual with excellent communication skills to oversee administrative duties, manage staff, and ensure seamless operations.
Key Responsibilities
- Obtain quotations, create purchase orders, update spreadsheets, and process invoices
- Ensure complete documentation is sent to HQ and uploaded to Wheelsys
- Manage petty cash and submit EFT payment requests when accounts aren’t available
- Handle HR tasks for the Workshop & Panelshop, including payroll, overtime, staff queries, injury on duty cases, uniforms, leave submissions, and new staff onboarding and interviews
- Manage parts, stock, and inventory by following up on outstanding parts, obtaining ETAs and SA order numbers, resolving account queries, liaising with suppliers, performing mini stock counts, and managing Wash Bay stock
- Oversee electrical maintenance, equipment, and mini projects, which involves tracking machinery services, ensuring equipment is maintained, updating spreadsheets, liaising with electricians and suppliers, and assisting with project record-keeping
- Manage claims and maintenance, including booking vehicles for repairs, creating quotations, generating work orders, ordering parts, following up on purchase orders, coordinating with various departments, uploading documents to Wheelsys, creating branch claims, and liaising with airport staff and the claims department
Requirements
- 2-6 years of administrative experience, including supervisory roles
- Exceptional organizational skills, multitasking, and time management
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office and other office software
- Leadership skills for staff management and budget oversight
Qualifications
- Bachelor’s degree or equivalent (if applicable)
