About the Role
Hire Resolve, a leading client in the Car Rental industry, is seeking an experienced Admin Supervisor to join their team in Cape Town, Western Cape. The successful candidate will be responsible for overseeing administrative duties and supporting the day-to-day operations of the Workshop & Panelshop.
Key Responsibilities
- Overseeing and performing administrative duties such as obtaining quotations, creating purchase orders, updating spreadsheets, and processing invoices.
- Ensuring complete documentation is sent to HQ and uploaded to Wheelsys.
- Managing petty cash and submitting EFT payment requests when accounts aren’t available.
- Handling HR tasks for the Workshop & Panelshop, including payroll, overtime, staff queries, injury on duty cases, uniforms, leave submissions, and new staff onboarding and interviews.
- Managing parts, stock, and inventory by following up on outstanding parts, obtaining ETAs and SA order numbers, resolving account queries, liaising with suppliers, performing mini stock counts, and managing Wash Bay stock.
- Overseeing electrical maintenance, equipment, and mini projects, which involves tracking machinery services, ensuring equipment is maintained, updating spreadsheets, liaising with electricians and suppliers, and assisting with project record-keeping.
- Managing claims and maintenance, including booking vehicles for repairs, creating quotations, generating work orders, ordering parts, following up on purchase orders, coordinating with various departments, uploading documents to Wheelsys, creating branch claims, and liaising with airport staff and the claims department.
Requirements
- 2-6 years of administrative experience, including supervisory roles.
- Exceptional organizational skills, multitasking, and time management.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office and other office software.
- Leadership skills for staff management and budget oversight.
