About the Role

Our client is looking for a highly organized and professional Administrative Operations Assistant to support daily operations within a fast-paced construction environment. This role plays a critical part in ensuring seamless communication, accurate record-keeping, and efficient payroll and administrative processes.

Key Responsibilities

  • Reception & Communication: Handle incoming calls and manage professional telephonic and email communication with clients and consultants.
  • Administrative Support: Maintain accurate records of jobs, including start dates, completion dates, and any irregular occurrences.
  • Manage daily work diaries and ensure all documentation is up to date.
  • Payroll Support: Capture employee working hours and input data into payroll systems.
  • Generate and distribute payslips accurately and timeously.
  • Operations Coordination: Send quotations, follow up on approvals, and manage job acceptances.
  • Coordinate communication regarding project start dates, site duration, and completion updates.
  • Financial Administration: Send invoices accurately and on time.
  • Capture basic financial data on QuickBooks.
  • Resource Allocation: Allocate workers according to job acceptances and operational needs.
  • Office Management: Ensure effective time management and smooth daily office operations.

Requirements

  • National Senior Certificate (Grade 12)
  • Minimum of 3-5 years relevant administrative experience
  • Experience with payroll processing and basic financial capturing
  • Experience working in a fast-paced operational or construction environment
  • Strong proficiency in Microsoft Office 365 (especially Excel)
  • Experience working on QuickBooks is advantageous
