About the Role
Our client is looking for a highly organized and professional Administrative Operations Assistant to support daily operations within a fast-paced construction environment. This role plays a critical part in ensuring seamless communication, accurate record-keeping, and efficient payroll and administrative processes.
Key Responsibilities
- Reception & Communication: Handle incoming calls and manage professional telephonic and email communication with clients and consultants.
- Administrative Support: Maintain accurate records of jobs, including start dates, completion dates, and any irregular occurrences.
- Manage daily work diaries and ensure all documentation is up to date.
- Payroll Support: Capture employee working hours and input data into payroll systems.
- Generate and distribute payslips accurately and timeously.
- Operations Coordination: Send quotations, follow up on approvals, and manage job acceptances.
- Coordinate communication regarding project start dates, site duration, and completion updates.
- Financial Administration: Send invoices accurately and on time.
- Capture basic financial data on QuickBooks.
- Resource Allocation: Allocate workers according to job acceptances and operational needs.
- Office Management: Ensure effective time management and smooth daily office operations.
Requirements
- National Senior Certificate (Grade 12)
- Minimum of 3-5 years relevant administrative experience
- Experience with payroll processing and basic financial capturing
- Experience working in a fast-paced operational or construction environment
- Strong proficiency in Microsoft Office 365 (especially Excel)
- Experience working on QuickBooks is advantageous
