Job Summary

The suitable candidates main responsibilities and duties include, but are not limited to the following: DMS Electronic Firearm Management system and accounting systems. Maintain accurate data capturing of all firearms on DMS. Maintain accurate transfers and updating of firearm status of firearms on DMS. Maintain accurate loading of all required documents relevant to firearm management (CIIVs, Incident Reports, SAPS 136 forms). Liaison with Asset Department to ensure that Asset numbers are received for new firearms and captured on the system. Liaison with the Finance Department to ensure site codes and names for new contracts to transfer firearms. Maintain accurate databases of the Firearm competency of security officers, DFO and Issuing Officer Appointment letters. Regular audits of the system to ensure correct capturing and loading of documents by the branches/ sites. Analyzing risks w.r.t. the non- competent status of Security Officers. Liaison with branches/ sites regarding risks identified and ensure confirmation that firearms were withdrawn from non-competent security officers. Analyze, coordinate, verify and confirm with DMS the Monthly reports received from branches/ sites and communicate any outstanding/ incorrect reports. Submission of National Monthly Report to the NDFO for approval. Maintain accurate data bases of Training Service Providers/ Dealers and Gunsmiths. To provide support, assistance and training of the system to the branches/ sites. To provide the information required to the Tender Department and SAPS when required. To provide administrative support services for the firearm department. Maintain financial accounts of services provided including, but not limited to creating purchase orders, following up on approvals and payments. To assist in the management of departmental information. Ensure compliance with the Companys disciplinary code. Co-ordinate, maintain and improve systems on Firearm Legislation and BPC Policy and procedures. To ensure efficient coordination of departmental activities by setting up administrative systems and creating work schedules, organizing resources to meet work objectives and prioritizing work accordingly. To co-operate, liaise, develop good customer and public relationships, establishing and maintaining a network of contacts. From time to time the NDFO may request assistance on an ad hoc basis with certain firearm related requirements. Preferred qualifications: Grade 12 or equivalent qualification. PSIRA – Grade A. Business administration degree/ courses would be an advantage. Valid SAPS Competency Certificate with the following qualifications: Firearm competency in Handgun, Shotgun, Self-loading rifle, Manual Operating Rifle, Machine carbine and knowledge of the Firearms Control Act would be an advantage. Reg. 21 Training on Handgun, Shotgun, Self-loading rifle, Manual Operating Rifle, Machine carbine and knowledge of the Firearms Control Act would be an advantage. Experience in dealing with firearms would be an advantage. Quality Control and/or compliance certification would be an advantage. Relevant experience in a similar position advantageous. Job related Knowledge: Firearm Legislation General Firearms knowledge Firearm Management (administration) Computer Literacy working knowledge of MS Office Office administration Manual and electronic filing systems The Administrative Person needs to have a good sound knowledge of facts, data capturing and analyzing of information, understanding the rationale behind models, theories and principles for Administrative Duties.
