About the Role
The Export Coordinator role at West Coast Personnel is a critical position responsible for ensuring the smooth execution of export shipments via road, rail, sea, or air. The successful candidate will be responsible for coordinating with internal teams, customers, and transporters to ensure accurate documentation, compliance with customs and SARS regulations, and seamless communication.
Key Responsibilities
- Plan and execute export shipments from order receipt through to final delivery
- Coordinate with warehouse (CDC) on stock availability and consignment planning
- Liaise with transporters to arrange collections and monitor delivery schedules
- Track shipments and provide regular updates to customers
- Manage and maintain export tracking sheets and shipment records
- Prepare and manage all export documentation, including Commercial Invoices, SADC Certificates, Letters of Origin, and Inspection documentation
- Ensure all documentation complies with SARS and international trade requirements
- Verify accuracy between SAP data and export documentation
- Archive all completed export files and supporting documents
- Capture and process export orders on SAP
- Generate picking slips and coordinate with warehouse dispatch
- Create purchase requisitions (PRs) for transport, insurance, and inspection costs
- Track PRs, ensure cost allocation, and support payment processes
- Maintain accurate filing systems (digital and manual)
- Provide excellent customer service and maintain regular communication
- Build relationships with existing customers through regular engagement
- Handle export queries, delivery discrepancies, and investigations
- Compile sales reports and support forecasting and planning meetings
- Participate in export team meetings and distribute minutes
- Assist with customer age analysis and debtor discussions
- Monitor customer and brand performance vs prior year
- Assist in qualifying new export leads before escalation to Export Manager
- Support internal sales and marketing initiatives to meet budget targets
- Coordinate promotional and marketing activities
- Organise and maintain document control structures (by country, customer, etc.)
- Support audit processes and liaise with relevant stakeholders
