Job Description

A leading chemical and laboratory solutions company is looking for an experienced Sales Administrator with strong experience in sales administration, order processing, customer service, and cross-functional coordination to join their team in Bedfordview. The successful candidate will provide administrative and operational support to the sales function, ensuring efficient order management, accurate documentation, customer satisfaction, and effective coordination between sales, logistics, finance, and operations teams.

Responsibilities:

  • Process sales orders accurately and timeously
  • Capture and maintain invoices, quotations, and supporting documentation
  • Maintain organised sales records and documentation
  • Provide administrative support to the sales team
  • Respond to customer enquiries professionally and efficiently
  • Provide product, pricing, and order-related information to customers
  • Maintain and update customer databases
  • Build and maintain strong customer relationships through regular communication
  • Liaise between sales, logistics, finance, and operations departments
  • Coordinate order requirements, delivery schedules, and invoicing activities
  • Communicate order updates, delays, and changes to relevant stakeholders
  • Assist with the preparation of sales reports and performance summaries
  • Track sales activities, leads, and follow-ups
  • Monitor orders from placement through to delivery
  • Coordinate with logistics teams to ensure on-time deliveries
  • Track stock levels in collaboration with supply chain teams
  • Resolve basic order-related issues and discrepancies
  • Maintain sales documentation in accordance with company policies and quality standards
  • Support ISO 9001:2015 processes and audits
  • Assist with non-conformance tracking and corrective actions
  • Manage sales team calendars and meeting schedules
  • Coordinate internal and external meetings
  • Assist with event planning and logistics when required
  • Take and distribute meeting minutes when required

Requirements:

  • Previous experience in a Sales Administrator, Sales Coordinator, or similar role within a similar industry
  • Strong sales administration and order processing experience
  • Excellent customer service and communication skills
  • Experience coordinating with multiple internal departments
  • Strong organisational and record-keeping abilities
  • Proficiency in Microsoft Office and CRM systems
  • Ability to prepare reports and maintain accurate sales data
  • Understanding of inventory, logistics, and order management processes
  • Experience working within quality management systems will be advantageous
  • Reliable own vehicle and valid driver’s licence
  • Reside within reasonable travelling distance of Bedfordview
