Johannesburg: Admissions Specialist

About the Role

We are seeking a detail-oriented and professional Admissions Specialist to join our team in Johannesburg. As an Admissions Specialist, you will be responsible for managing the full admissions lifecycle across FETC and HET programmes, ensuring compliance with regulatory requirements, maintaining audit-ready student records, and providing exceptional support to prospective students from enquiry through to registration.

Key Responsibilities

  • Assess applications against minimum entry criteria and programme-specific requirements
  • Verify academic transcripts, certificates, SAQA evaluations, and supporting documentation
  • Issue conditional and final offer letters
  • Manage RPL, credit transfers, and deferments in line with policy
  • Ensure compliance with DHET, CHE, QCTO, and SETA requirements where applicable
  • Maintain complete and audit-ready student files
  • Support internal audits and external verification processes
  • Ensure compliance with POPIA and institutional governance policies
  • Provide guidance on NQF levels, entry requirements, programme duration, and articulation pathways
  • Assist prospective students with programme selection
  • Liaise with Academic Heads, Programme Coordinators, Marketing, and Finance regarding enrolment matters
  • Support registration and orientation processes during intake periods
  • Capture and maintain accurate student data on the Student Information System (SIS)
  • Track application conversion rates and intake targets
  • Compile admissions and enrolment reports for management and regulatory reporting
  • Monitor programme capacity in line with accreditation limits

Requirements

  • Previous admissions or student administration experience within a higher education, training, or financial services training environment
  • Strong knowledge of FETC, HET, NQF, DHET, CHE, QCTO, and SETA frameworks and compliance requirements
  • Excellent attention to detail with the ability to maintain accurate, audit-ready records
  • Strong administrative and organisational skills with the ability to manage high volumes of applications and competing deadlines
  • Professional communication and interpersonal skills, with a student-centric approach
  • The ability to work collaboratively with academic, finance, and operational stakeholders
  • High levels of integrity and confidentiality when handling sensitive student information
  • Strong problem-solving abilities and sound judgement when assessing applications and supporting students
