Position Overview: We seek a resourceful and experienced Executive Secretary to join our Johannesburg team. This pivotal role requires someone who excels in a dynamic environment and can navigate complex scheduling demands while thinking creatively to provide innovative solutions. Key Responsibilities: Plan and manage extensive travel itineraries, including domestic and international bookings, accommodations, and other travel logistics. Serve as the key liaison for coordinating travel between our Johannesburg and Dubai offices. Provide comprehensive calendar management for executives, ensuring efficient time use and prioritization of commitments. Prepare detailed travel and expense reports, maintaining accuracy and promptness. Approach challenges proactively and propose actionable solutions to enhance efficiency. Maintain high levels of professionalism and confidentiality in all communications and interactions. Support executives in special projects and ad-hoc tasks, ensuring seamless operation. Qualifications: Minimum of 3 years of proven experience as an Executive Secretary or in a similar administrative position is mandatory. Demonstrated expertise in managing extensive travel schedules. Exceptional organizational and multitasking skills, with a keen eye for detail. Strong interpersonal and communication abilities, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. A results-oriented mindset with a flair for innovative problem-solving. Ability to thrive under pressure and adapt swiftly to changing circumstances.
