Key Responsibilities: Order Processing and Management: Capture, validate, and maintain customer orders accurately on SAP (VA01) Coordinate new customer creation requests with Finance and Sales teams. Ensure all pricing is loaded and maintained in line with approved structures. Process proforma invoices and liaise with Finance regarding blocked or overdue accounts. Monitor and follow up on pending or incomplete orders to ensure on-time delivery. Capture urgent or after-hours orders when required to support operations. Coordination and communication: Serve as the primary liaison between Sales, Logistics, and Finance to ensure smooth order flow. Communicate delivery schedules, order confirmations, and changes to relevant stakeholders. Escalate critical or time-sensitive issues to the appropriate departments promptly. Maintain accurate records of orders, approvals, and related correspondence. Systems and Reporting: Manage and oversee customer order portals, ensuring data accuracy and pricing compliance. Approve or reject orders based on stock availability, pricing, and quantity validation. Generate daily, weekly, and monthly reports on order processing, OTIF performance, and backlog. Support continuous improvement initiatives to enhance system accuracy and workflow efficiency. Minimum Requirements: Skills and Competencies: Strong proficiency in SAP (Sales & Distribution) and Microsoft Excel. Excellent organisational, administrative, and coordination skills. Strong numerical accuracy and attention to detail. Ability to multitask and perform under pressure in a fast-paced environment. Effective communicator with a sense of urgency and accountability. Team-oriented and adaptable to changing priorities. Qualifications and Experience: Grade 12/ Matric (Essential) Diploma in Business Administration, Supply Chain, or related field (advantageous). Minimum 2-3 years experience in sales or order administration within a fast-paced environment. The role focuses on ensuring accurate and timely processing of internal sales, quotations, orders, invoicing, and renewals, while maintaining strong communication between customers, suppliers, and internal teams. What you’ll do: Internal Sales Duties: Formalize budget quotations accurately and timeously. Process new sales for South Africa and Southern Africa. Proficient in using order processing applications and support tools. Ensure quote and order information update on request. Go-between sales team and supplier order processing departments. Provide administration department with appropriate invoicing, delivery information and deliverables. Assist with order and download upgrades licenses new sales and Customer First Shipments as required. Complete filing requirements timeously. Flexible and adaptable to change in business processes. Maintain GP list. Customer First Sales Duties: Communicating with customer assure order received on time. Calculating and compiling pricing for Customer First Support Renewals. Assisting Account Manager with Customer First Renewals customers and maintain the orders mailbox.
