Job Description

Core Roles & Responsibilities Accounts Payable Administrator Processing supplier invoices oReceive, check, and capture invoices accurately oMatch invoices to purchase orders and delivery notes (3-way matching) oEnsure invoices are authorised according to company policy Supplier account management oReconcile supplier statements to the creditors ledger oInvestigate and resolve discrepancies or queries with suppliers oMaintain accurate supplier records and banking details Payments oPrepare payment runs (EFT, or electronic payments) oEnsure payments are made within agreed credit terms oObtain payment approvals and process payments in the accounting system Creditor reconciliations oPerform monthly supplier reconciliations oIdentify missing invoices, duplicate entries, or pricing errors oEnsure balances are correct before month-end close Month-end & reporting support oAssist with month-end closing procedures oProvide creditors aging reports oAccrue expenses where invoices are outstanding Compliance & controls oEnsure VAT/GST is correctly applied and recorded oAdhere to internal controls and audit requirements oMaintain proper filing and document control (physical or digital) Communication & query handling oRespond to supplier payment and statement queries oLiaise with procurement, stores, and finance teams oEscalate unresolved issues when necessary General administration oArchive invoices and supporting documents oSupport audits by providing required documentation oAssist with ad-hoc finance tasks as requiredTypical Systems & Skills Involved Accounting software (e.g. Sage, Pastel, SAP, Oracle, QuickBooks) Strong attention to detail and accuracy Good time management and ability to meet deadlines Basic understanding of accounting principles and VAT Clear communication and problem-solving skillsEmail address: .za
