About the Role
We are seeking a highly skilled and experienced Ship Agent to join our team at G-Core Capital in Richards Bay. As a key member of our operations team, you will be responsible for overseeing all operational matters for assigned vessels, ensuring that Owner’s requirements and instructions are met with utmost efficiency. You will also provide local knowledge and expertise, respond accurately and timely to queries from various departments, and maintain high levels of professionalism, ethical conduct, and service excellence at all times.
Key Responsibilities
- Oversee all operational matters for assigned vessels relating to Owner’s requirements and instructions.
- Acknowledge receipt of emails and respond accordingly in a timely manner.
- Provide local knowledge and expertise and ensure that the principal’s requirements are performed with utmost efficiency.
- Respond accurately and timely to all queries received from any and all departments; ie Operations, Crew, Spares, Technical, etc. including but not limited to requests for procedures for operational matters, crew changes, spares, requests for local repairs.
- Assist vessel’s Master with pre arrival information and coordinate /liaise with all parties and authorities for timely arrangements and services, including submitting necessary information and updating IPMS, MDH documentation to Port Health for Free Pratique (OPL or IN PORT), follow up with Port Security for timely ISPS clearance for vessel’s coming into Port.
- Keep Owners updated with vessel prospects at all times for their timely arrangements.
- Monitor all requirements and instructions from Owners, and complete daily updated requirement lists for Owner’s inspection and confirmation.
- Communicate and follow up with staff members to ensure all arrangements as per Owner’s requirements are completed, ie crew, spares, courier are cross checked accordingly.
- Ensure Bluverve is updated accordingly.
- Liaise with local suppliers as per Owner’s arrangements for supplies, confirming orders and advising ETA’s and delivery instructions, ie Launch service provider or In Port.
- Accurately arrange dispatch of landed items from vessels as per Owner’s or Master’s instructions, ie courier dispatch or air/sea freight exports. (Liaise with appropriate staff member for air or sea freight exports). Notify Owners accordingly of dispatch.
- Complete detailed arrival reports for vessels coming in to port and keep Owners updated during vessel’s port stay.
- Complete launch reports in a timely manner once launch returns and job sheet received from launch provider.
- Liaise with local third-party handlers, including courier companies to receive consignments.
- Provide support and assistance to fellow staff members to ensure completeness of scheduled requirements.
- Assist as required with completion of launch permits via Port Health and Harbour Immigration.
- Assist as required with transportation to and from airport of crew members and/or Owner’s Representatives
- Assist as required with collection of spares from airport and deliveries to vessels.
- Complete “Ok To Boards” and submit to airlines in a timely manner to ensure safe boarding for On Signing crew members
- Complete Invitation Letters (LOI) for non-crew; ie family members joining vessels, personnel who are visiting and not visa exempt.
- Arrange necessary transportation to and from airport and ensure crew and/or personnel are collected in a timely manner.
- Arrange appropriate Hotel Accommodation, if required respectively for crew and/or personnel.
- Assist as required with completion of launch permits via Port Health and Harbour Immigration.
Requirements
- Grade 12
- Additional tertiary qualifications within the industry would be highly advantageous.
- Previous experience in the Shipping or related industries
- Strong written and verbal communication skills
- Excellent problem-solving skills
- Intermediate Excel Skills and computer skills
- Able to multi-task and prioritize work effectively
- An eye for detail
- An ability to work to deadlines
- To be honest, discreet, and trustworthy
