About the Role
We are seeking a highly experienced Litigation Secretary to join our team in Sandton. The successful candidate will be responsible for providing administrative support to lawyers and managing the day-to-day operations of the litigation department.
Key Responsibilities
- Prepare and file court documents, including notices and pleadings
- Incorporate amendments to documents and verify that amendments have been effected correctly
- Organize court files on CourtOnline and CaseLines
- Prepare resource, counsel, and client files
- Open new matters and liaise with clients regarding the onboarding of new clients
- Manage professionals’ practices (diary management, answering telephone calls and tracking messages in the absence of the professionals)
- Book boardroom meetings and arrange catering
- Prepare pre-bills and billing memos (sending same to clients)
- Manage debtors and debt collection with the accounts department
- Administer FICA requirements and follow up on completeness
- Liaise with clients, counsel, presiding officers, experts, and other service providers as instructed
- Assist in preparation of tender submissions and presentations
- File (electronic and hard copies) using iManage and email management
- Provide notarial assistance
- Coordinate extensive travel arrangements, car hire, flights, restaurant bookings, shuttle transfers, etc.
- Maintain high standards of confidentiality and discretion
Requirements
- Minimum 5 years experience as a Legal Secretary
- Excellent knowledge of Microsoft Office Suite programmes, specifically MS Word
- Knowledge on Aderant Expert (CMS) accounting system
- Knowledge on FileSite
- Sound working knowledge of CourtOnline and CaseLines
- Experience in High Court litigation (motion proceedings)
- Secretarial diploma/legal secretarial diploma/paralegal qualification (advantageous)
- Matric essential
