About the Role
We are seeking an experienced Litigation Secretary to join our team in Sandton, South Africa. As a key member of our administrative support team, you will provide high-level administrative support to lawyers and other professionals in our firm. This is an excellent opportunity for a highly organized and detail-oriented individual with excellent communication skills to join our dynamic team.
Key Responsibilities
- Prepare notices, pleadings, and amendments, incorporating changes correctly
- Attend to issue pleadings, upload pleadings, sort pleadings, and organize court files on CourtOnline and CaseLines
- Manage professionals’ practices (diary management, answering telephone calls, tracking messages)
- Coordinate boardroom bookings and catering arrangements
- Prepare pre-bills and billing memos (sending same to clients)
- Liaise with clients, counsel, presiding officers, experts, and other service providers
- Assist in preparation of tender submissions and presentations
- File (electronic and hard copies) iManage and email management
- Provide notarial assistance
- Coordinate extensive travel arrangements, car hire, flights, restaurant bookings, shuttle transfers, etc.
- Maintain high standards of confidentiality and honesty
- Display excellent time management skills and ability to multi-task
Requirements
- Minimum 5 years experience as a Legal Secretary
- Excellent knowledge of Microsoft Office Suite programmes (MS Word)
- Knowledge on Aderant Expert (CMS) accounting system
- Knowledge on FileSite
- Sound working knowledge of CourtOnline and CaseLines
- Experience in High Court litigation (motion proceedings)
Qualifications
- Secretarial diploma/legal secretarial diploma/paralegal qualification (advantageous)
- Matric essential
