About the Role
We are seeking a detail-oriented and customer-focused Administrative Assistant to join our Gauteng Branch in Vereeniging. As an administrative assistant, you will play a vital role in ensuring the smooth operation of our branch, providing excellent customer service, and maintaining accurate records.
Key Responsibilities
- Receive and process customer orders accurately and efficiently
- Prepare warehouse picking slips and supporting order documentation
- Process invoices and maintain accurate order records
- Communicate with customers regarding order status and product availability
- Resolve customer queries and escalate matters where required
- Maintain accurate customer files and documentation
- Liaise with warehouse personnel regarding stock availability
- Assist in maintaining accurate stock records
- Monitor stock levels and report shortages
- Ensure warehouse documentation is completed and filed correctly
- Assist with stock counts and reconciliations when required
- Coordinate customer collections and deliveries
- Liaise with courier companies and transport providers
- Prepare delivery notes, invoices, and waybills
- Track collections and deliveries to ensure efficient service
- Follow up on outstanding collection and delivery queries
- Respond professionally to customer enquiries
- Assist with pricing requests, stock availability checks, and quotations
- Build and maintain strong customer relationships
- Deliver excellent customer service at all times
- Manage branch petty cash and supporting records
- Assist with monthly costing reports and spreadsheets
- Process and maintain COD customer accounts
- Ensure invoicing is completed accurately and timeously
- Maintain electronic and manual filing systems
- Support branch administration and office management functions
- Assist with general administrative duties as required
Requirements
- 1–3 years’ administrative experience
- Computer literate with proficiency in Microsoft Word, Microsoft Excel, and Microsoft Outlook
- Strong communication skills in both Afrikaans and English
- Excellent attention to detail and accuracy
- Strong organisational and time management skills
- Ability to work independently and as part of a team

Salary & Benefits
- R8,000 – R13,000 per month (dependent on experience)
- Medical insurance benefit after successful completion of the 3-month probation period
Reporting Structure
Reports directly to the Branch Manager and Administrative Manager.
