About the Role

The Creditors Clerk role at Persona Staff involves maintaining and updating financial records, processing supplier payments, and ensuring accurate accounting practices. As a key member of our team, you will be responsible for managing creditor accounts, processing payments, and providing administrative support to ensure the smooth operation of our property management services.

Key Responsibilities

  • Maintain and update the monthly accounts tracker, ensuring all information is accurate and up to date
  • Ensure all supplier invoices are received monthly and meet documentation requirements
  • Verify that invoice details are correct and properly authorised by the relevant Property Manager or department head
  • Process and execute supplier payments accurately using the MDA property management system
  • Process payments relating to suppliers, wages, salaries, and UIF
  • Prepare payment reconciliations and supporting spreadsheets
  • Calculate wages and UIF contributions and ensure calculation sheets and payslips are updated monthly
  • Capture and maintain supplier information on the MDA system
  • Update supplier details and manage the onboarding of new suppliers and contractors
  • Liaise with suppliers and contractors to resolve payment queries and account discrepancies
  • Coordinate with the Debtors Clerk regarding recoverable expenses
  • Assist with the termination or activation of supplier services when required
  • Maintain organised filing systems for all creditors and debtors’ documentation
  • Manage the opening, archiving, and maintenance of financial records and files
  • Process credit applications where applicable and follow up on outstanding supplier queries
  • Assist with council-related account queries when necessary
  • Perform banking duties if required
  • Ensure all work is completed according to the company’s monthly financial schedule
  • Prepare reports and perform general administrative tasks as required

Requirements

  • Previous experience in a Creditors Clerk or Accounts Payable role
  • Experience working within property management or property finance environments (advantageous)
  • Experience using MDA or similar property management accounting systems (advantageous)
  • Strong numerical accuracy and financial administration skills
  • Proficiency in Microsoft Excel and general accounting systems

Job Description

Responsibilities:

  • Receiving and capturing of invoices from receiving.
  • Maintain the goods received/ MIGO’d invoice record book.
  • Prepare and send expected payments list weekly.
  • Ensure that all invoices are processed for weekly payment.
  • Printing emails within the deadline and ensuring that all the necessary documents and approvals are attached for payment.
  • Checking banking details and the due dates before submitting of payments.
  • Ensure that all invoices are expensed by the end of the month with correct supporting documents.
  • Ensure that all invoices are processed to the correct cost centre and general ledger when capturing.
  • Prepare month end creditors file for payment.
  • Capturing invoices/credits and reconciliation account, sort out queries where necessary.
  • Prepare invoices for global payments as per budget.
  • Complete credit applications for new supplier accounts including getting the necessary authorization.
  • Create new vendors including completing the forms, telephonic confirmations, ensure all documentation is received and create SAP vendor and send for approval.
  • Ensure the filing is complete and maintained.
  • Liaison with the head office.
  • Assist with the switchboard and events when required.

Requirements:

  • Matric certificate.
  • 3 -5 years in a similar role.
  • SAP knowledge.
  • Critical thinking skills and ability to work under pressure.
  • Excellent numeracy skills and computer literacy.
  • Strong time management skills.
  • Ability to work in a team environment and independently.
  • Must have good communication skills in English and Afrikaans.
  • Drivers license.
