Job Description

Pinnacle Hygiene Services is seeking a highly organised and detail-oriented Administrative Assistant to support daily operations in our fast-paced Midrand office. This role is essential in maintaining operational efficiency, ensuring accurate record-keeping, and supporting smooth business processes across administration, fleet, and warehouse functions. Key Responsibilities Maintain and update client databases and service records using Microsoft Excel Prepare detailed reports, schedules, and perform data analysis with advanced Excel functions Coordinate service appointments and manage technician schedules Oversee fleet management, including vehicle tracking, maintenance scheduling, compliance documentation, and service records Handle customer inquiries professionally via telephone and email Process quotations accurately Stock control, warehouse operations, and procurement of supplies Provide administrative support to management and assist with special projects Maintain organised filing systems and documentation to ensure operational efficiency Minimum Requirements Essential: Valid drivers licence and reliable vehicle Grade 12 / Matric certificate or equivalent qualification Must reside in or around Midrand (Kyalami/Centurion) Technical Skills: Advanced proficiency in Microsoft Excel, including: Complex formulas and functions Data analysis and database management Accurate and efficient data capturing Core Competencies: Ability to work effectively under pressure and meet deadlines Strong organisational and multitasking skills Excellent written and verbal communication abilities High attention to detail and accuracy Prior administrative experience is a must Preferred Qualifications Experience in the cleaning or hygiene industry Familiarity with scheduling software and CRM systems Basic knowledge of bookkeeping or accounting principles Proficiency in other Microsoft Office applications
