About the Role
We are seeking a highly professional, detail-oriented, and proactive Junior Personal Assistant to support the Country Head (Vice President 2) in enabling executive efficiency through seamless coordination of administrative, governance, and operational activities.
Key Responsibilities
- Manage complex calendars across multiple time zones, ensuring optimal scheduling and prioritisation
- Arrange and coordinate all internal and external meetings (including executive forums, governance sessions, and leadership reviews)
- Take accurate minutes of meetings and maintain structured action logs with follow-ups
- Coordinate governance cadences, including leadership meetings, business reviews, and strategic sessions
- Compile, consolidate, and maintain business reports aligned to South Africa geography and broader organisational requirements
- Develop professional PowerPoint presentations, leadership decks, and executive summaries
- Assist in building reports using AI-enabled tools to enhance productivity and output quality
- Manage local and international travel arrangements, ensuring cost efficiency and compliance
- Prepare and submit expense reports accurately and within required timelines
- Coordinate communication flows, announcements, and key updates
- Support stakeholder engagement through follow-ups, reporting, and administrative coordination
- Manage internal digital filing and maintain structured document storage and retrieval systems
Requirements
Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience with office management tools and project management platforms
Ability to leverage AI tools for Minutes of meetings, Report creation, Presentation development
Strong understanding of governance processes and business operations
Proven analytical and problem-solving skills
High School Diploma (required)
Qualifications
Additional qualifications in Office Administration, Secretarial Studies, or Business Administration (advantageous)
