Job Description
Description of the role:
Centralised point for distributing all rates (STO, Corporate, Government, Negotiated, SADC Residents, Groups) and terms to suppliers, annually/on-request/ad hoc as applicable.
Calculate annual rate increases, updating the STO rate agreement (including ad hoc changes through the year) and distributing to suppliers.
Compile information and completing annual/on request/ad hoc contracting/brochuring documentation from suppliers. Facilitating internal authorisations needed, completing/compiling documentation, reverting to suppliers.
Ensure that correct documents are in place for all negotiations and as above keep records of all contracts and negotiated terms.
Create standardised documentation and rate templates reflecting all rates, terms & conditions.
Manage a centralised system for recording rate information so that it is available to the reservations team and sales team.
Support function for reservations, sales and suppliers.
Assist in the development and implementation of sales and marketing strategies.
Work closely with the sales and marketing team to promote the reserve.
Responsibilities
Rate calculation, drawing up of documentation and distribution.
Annual STO / corporate agreement updates, ensure that the agreement reflects any amendments changes to rates, specials, terms.
Ad hoc rates / flash sales / promotions / operator offerings.
Distribute STO / corporate rates and reverting to all Tour Operators / Agents / Company queries regarding rates and contracting and sales related information.
Issue & record STO and neg rates.
Develop & maintain a workable database reflecting all recorded information relevant to sales & reservations :
- Update Quick Ref STO/Negotiated database
- Update supplier details on database (Contact person & email address, database used for distributing rates)
- Manage a system for saving correspondence of agreements and rates sent to have a track record of what relates to each agent
Create and sustain updated rate templates and agreements – negotiated / STO / group / ad hoc / corporate / SA Residents / Agent / government
Complete supplier annual / ad hoc contracting documentation and submitting before deadlines and recording details
Brochure Renewals: authorisations, compiling and completing related documentation, proofing content, updating images. Submitting before deadlines
Brochure database, keeping track of brochure details & barters (operator, lodge, page size, validity, barter info, contribution amount)
Reporting:
- Revenue / Production as requested by sales
- Weekly arrivals
- Key client monthly arrivals
Update client details on ResRequest & Nightsbridge and linking STO rates.
Forward new contacts and leads to sales team and adding to database.
Manage Free Sale Agreements (related to brochure agreements) and send weekly stop sale dates to suppliers.
Advise res team of rate related information to take note.
Assist reservations team with rate and policy queries.
Document design and layout.
Auditing and adding information to online travel sites to ensure consistency across the board.
Maintain and update Sales database; assist with all sales administrative tasks like reports for sales meetings and strategy meetings.
Assist with booking flights and accommodation.
Assist with booking of tradeshows.
Assist with coordinating all site inspections with relevant lodges.
Assisting with booking client meetings when needed.
Calculating of International reps commissions due to them.
Qualifications
Matric
Skills
Experience in travel / tourism / hospitality.
MS Office – proficient.
Excellent communication skills – verbal and written.
Ability to meet deadlines and to multi-task.
Exceptional administrative and planning skills.
Passport for travel to Botswana from time to time.
Experience on ResRequest and Nightsbridge an advantage.
