Office Administrator (Fast‑Paced Production Environment) We are seeking a disciplined, detail‑driven Office Administrator to support our operational, financial, and production‑related administration. The role requires accuracy, initiative, and the ability to work in a fast‑paced environment with high levels of transparency. Key Responsibilities Order, Customer & Sales Administration – Process customer orders and communicate promptly regarding out‑of‑stock items. – Prepare and process quotations. – Finalise invoices and process transactions from Matrix to Pastel. – Issue credit notes where discrepancies occur. – Ensure all invoices are returned signed, filed, and traceable. – Handle card and cash payments accurately. Production Batch Administration – Open and close recipe batches. – Open and close block test batches. GRV & Stock Processing – Process GRVs on Matrix and Pastel. – Update bruto daily, ensuring it balances across both systems. Financial Administration – Manage petty cash and process entries on Pastel. Document Management – Ensure all documents are scanned and saved to OneDrive before filing. – Ensure all documents and check sheets comply with GFSI standards (work in progress). General Operational Support – Assist with additional administrative tasks as workload increases due to business growth. – Maintain high levels of accuracy to eliminate avoidable errors. Work Schedule Saturdays are required every second week, with rotation and the option to swap when necessary. Requirements Strong administrative and organisational skills. Ability to work under pressure in a fast‑paced environment. High level of discipline, initiative, and transparency. Strong attention to detail and accuracy. Experience with Pastel and Matrix (advantageous). Ability to follow structured processes and maintain compliance standards.
