Job Description

You will be responsible for managing all front-of-house operations while providing comprehensive administrative and clinical support to the medical team. The role involves patient interaction, appointment coordination, document management, and billing processes. Accuracy, confidentiality, and attention to detail are essential, as the role supports both consulting and theatre-related activities. Key Responsibilities Manage the front office in a professional and courteous manner Maintain a neat, organised, and welcoming reception area Handle all incoming calls, bookings, and patient inquiries Manage appointment scheduling for multiple practitioners, including joint bookings Ensure all reports and doctors correspondence are received prior to consultations Load patient notes onto doctors devices ahead of appointments Take patient measurements to calculate BMI for specific consultations Liaise with external medical offices regarding bookings and information Process payments and issue receipts following consultations Schedule follow-up and post-operative appointments in advance Create, update, and maintain accurate patient files on internal systems Prepare consultation notes and supporting documentation for practitioners Perform filing, scanning, and uploading of all patient documentation Manage incoming email correspondence and typed communications Assist practitioners during in-room clinical procedures when required Prepare daily consulting schedules and manage theatre-related logistics Support practice management functions when required, including invoicing and bookings Manage office supplies, billing updates, and general front office administration Key Attributes Highly organised with strong attention to detail Professional, well-presented, and patient-focused Able to work under pressure in a confidential environment Strong communication and interpersonal skills Reliable and adaptable with a proactive approach Requirements Previous experience in a medical or professional front office environment Strong administrative and reception experience Proficiency in computer systems and patient management platforms Ability to handle sensitive information with discretion Good written and verbal communication skills Remuneration R10 000 – R15 000 (Dependent on experience) Only shortlisted candidates will be contacted

About the Role

We are seeking a highly organised and communicative Medical Receptionist to join our team. As the first point of contact for patients, you will be responsible for providing excellent customer service while managing administrative tasks.

Key Responsibilities

  • Front desk reception and patient communication
  • Processing medical aid claims (experience essential) with Xero accounting software
  • Invoicing, debtors, creditors, and monthly statements
  • Bank reconciliations and basic bookkeeping
  • Managing accounts using Xero accounting software

Requirements

  • Previous experience in a medical or dental environment
  • Strong knowledge of medical aid claims processes with GoodX software
  • Proven experience with Xero and Goodx
  • Excellent organisational and communication skills
  • Ability to work independently and accurately
