Job Description
Delaire Graff Restaurant is looking for a Hostess & Reservations Coordinator to join the team and serve as the first point of contact for guests while managing reservations. The role focuses on delivering excellent customer service, ensuring smooth front-of-house operations, and creating a welcoming and seamless dining experience for our guests.
Responsibilities:
Hostess:
- Welcome and greet guests warmly upon arrival and escort them to their assigned tables.
- Manage the reservations book and assist with table allocations to ensure smooth service flow.
- Communicate VIP arrivals and special requests to management and service staff.
- Answer incoming calls and assist guests with general enquiries.
- Maintain a clean and organised hostess desk and front-of-house area.
- Assist with Switchboard duties and support restaurant operations when required.
- Be able to perform the duties of Reservations, Switchboard, and Hostess as operationally required.
Reservations:
- Handle all reservation enquiries via email, telephone, guests, and site inspections.
- Manage reservation administration including quotes, invoices, and payments.
- Confirm all reservations via telephone and email and ensure accurate booking records.
- Ensure the DinePlan reservations system is updated and managed correctly.
- Coordinate helicopter landings with helicopter companies and the security team when required.
- Finalise menus with guests in consultation with the Head Chef when applicable.
- Maintain professional and detailed communication with all relevant departments and guests.
Requirements:
- Grade 12 (Matric).
- Hospitality or tourism qualification advantageous.
- 13 years experience in a reservations, hosting, or front-of-house hospitality role.
- Experience with reservation systems and third-party booking platforms (e.g. Booking.com, Expedia).
- DinePlan knowledge advantageous.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent customer service and interpersonal skills.
- Strong organisational and communication skills.
- High attention to detail and ability to work under pressure.
- Reliable, adaptable, and able to work as part of a team.
- Own transport and valid drivers license.
- Availability to work weekends, evenings, and public holidays when required.
