Vault data capturers are responsible for accurately processing various vault functions to ensure the efficient receipt, dispatch, and archiving of files within the secure vault storage area.

Key Responsibilities include but not limited to the following:

• Ongoing checking of picklist for files requested via the system.               
• Ensure all files/documents requested are extracted, batched and distributed timeously.
• Update system accordingly.               
• Dispatch and delivery of files to various department as per request.               
• Collection of returned files from various department on operation floor.               
• Receiving and returning of files and ensuring system is updated update accordingly.
• Scan file into the location and upload location data into the system.               
• Ensure that all downloaded scanning errors are attended to and cleared before commencing the next return batch.       
• Reporting and locating of missing files.               
• Keep manual books updated accurately daily.               
• Adhere to the vault system to ensure correct and accurate return of files.
• Ongoing location audit.               
• Ensure vault is always neat and tidy.               
• Follow archiving processes as required.               
• Ensure files are well placed in location.               
• Attending to vault related queries.               
• Assist with transfer of boxes from one location to the other when required.               
• Loading and offloading of boxes received from clients.        
• Flexibility to perform in various functions, various departments and various locations.
• Adhere to Health and safety requirements.               
• Assistance with housekeeping and site maintenance.           
• Monitoring and ensuring that daily stats are achieved and maintained.
• Stacking and packing of boxes, files etc.

Skills and Competencies: 

• Computer keyboard literate.    
• Must be able to type quickly and accurately.               
• Ability to pay attention to detail.               
• Quality driven.               
• Good understanding and ability to follow process requirements.               
• Ability to operate efficiently under pressure – and maintain required daily processing stats to meet client’s SLA’s.          
• Must have physical ability to carry heavy archive boxes up and down stairs if/when required.
• Strong sense of ownership and pride in work output.
• Good diligent time keeping.

Minimum Qualifications, Experience, and Knowledge:

• Relevant Degree
• 2 – 3 years’ experience
• Computer keyboard literate
