About the Role
Oxyon People Solutions is seeking a highly skilled and experienced Payroll Administrator / Site Supervisor to join our team in Newcastle, Johannesburg. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day management of payroll and site administration tasks. You will work closely with clients to deliver exceptional customer service and support their HR needs.
Key Responsibilities
- Collect job and hours allocation reports to formulate a timesheet.
- Ensure accurate calculation of hours worked.
- Prepare an accurate weekly timesheet for wage processing.
- Submit a timesheet on Tuesday Morning to ensure wages are processed on time and accordingly.
- Prepare leave forms, reports, and supporting documents for all applications submitted by the employees for retained annual leave, sick leave, family responsibility leaves.
- Assist clients with resolving wage errors.
- Ensure that the correct headcount is maintained on the respective site, according to the specified site requirements.
- Meet daily headcount compliment (including over weekends or in strike situations).
- Screen candidates according to Company requirements.
- Ensure assignees have valid ID documents and drivers licences as required.
- Ensure that legislative requirements in respect of the hiring of foreign nationals are adhered to.
- Select candidates for placement and / or overtime in a legal and ethical manner.
- Adhere to the stipulations of the Company’s Code of Business Conduct and Stakeholder Engagement Policies.
- Deliver exceptional customer service to clients and increase headcount on allocated sites.
- Provide services to the client in a timely, professional, and pleasant manner.
- Maintain the values of the Company in all interactions.
- Monitor, follow up, and ensure resolution to all client queries within a 24-hour timeframe.
- Deliver exceptional customer service to assignees.
- Monitor, follow up, and ensure resolution to all assignee queries within a 24-hour timeframe.
- Schedule training and medicals for assignees as required.
- Ensure that the correct paperwork is signed and maintained for all assignees.
- Ensure that assignee files and Contractor Zone files are kept up to date.
- Ensure that all requirements as stipulated by the Company are adhered to, when submitting timesheets and supporting documents for payments.
- Manage the issuing and control of Personal Protective Equipment (PPE).
- Manage End of Contracts.
- Manage injuries on duty (IOD).
Requirements
- Relevant experience in payroll administration or a related field.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Basic knowledge of employment laws and regulations.
