Job Summary

Your basic key responsibilities are but not limited to: – Write and distribute email, correspondence memos, letters, and forms. – Calendar Management – Setting up & confirming meetings (online, in-person, and calls) – Administrative tasks – Managing & updating databases – Managing meetings and taking minutes if required – Assisting in the preparation of regularly scheduled reports. – Maintain contact lists. – Focus on excel spreadsheets- will be required to pull reports. – Liaise and team with Key Support Staff and Directors to ensure that all tasks are completed within required deadlines. – Personal Arrangements such as medical appointments, client meetings, transport, travelling, exams, events. Ad hoc

Requirements:

– Experience as a Personal Assistant – Knowledge of office management systems and procedures – Excellent experience with MS Office (Word, PowerPoint, Excel) – Excellent time management skills and the ability to prioritize work. – Attention to detail and problem-solving skills is of importance. – Great written and verbal communication skills – Strong organizational skills with the ability to multitask and be proactive. – Ability to cope under pressure and work in a fast-paced environment. – Available and flexible to work overtime as and when required after hours and Public Holidays, willing to assist occasionally on weekends in urgent situations. – Available to work a 1012-hour shift for the day- to attend to any queries as requested by Directors. – Own transportation will be advantageous. – Bcom or LLB Degree advantageous

Job Summary

Responsibilities:

Executive Support: Provide direct administrative and business support to senior executives. Manage calendars, schedule meetings, and organize travel arrangements. Prepare and compile reports, presentations, and other essential documents. Act as the primary point of contact, managing incoming communication and responding on behalf of the executives when required. Event Coordination: Assist in planning and coordinating company events, meetings, and functions. Handle logistics, bookings, and related tasks to ensure events run smoothly. Office Management: Oversee day-to-day office operations to support productivity and a positive work environment. Manage supplies, resources, and liaise with vendors to meet office needs. Coordinate and track expense reports, invoices, and payments. Communication: Facilitate internal and external communications on behalf of the executive team. Draft and edit correspondence, ensuring all communications are professional and aligned with company values. Build and maintain strong working relationships with stakeholders and team members. Project Assistance: Support the executive team with ad-hoc projects, conducting research, preparing materials, and tracking progress. Coordinate cross-departmental projects and follow up on deadlines to ensure timely completion. Key Skills : Strong organisational skills with attention to detail and the ability to multitask. Excellent written and verbal communication skills, demonstrating professionalism and tact. Ability to prioritise tasks effectively and work independently with minimal supervision. Strong problem-solving skills and adaptability in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other common software. Familiarity with scheduling tools, virtual meeting platforms, and office management software. Experience in the beverage or FMCG (Fast-Moving Consumer Goods) industry is an advantage. Qualifications : Diploma or degree in Business Administration, Office Management, or a related field is preferred.
