Job Summary
Job Purpose:
To support the finance department with daily accounting tasks, including bookkeeping, payroll processing, reconciliations, and reporting. The successful candidate will play a critical role in maintaining accurate financial records and ensuring timely payroll execution, particularly using Xero Accounting Software.
Key Responsibilities:
Bookkeeping & Financial Admin:
- Process and capture all supplier invoices, customer invoices, credit notes, and journals in Xero.
- Perform daily bank reconciliations and resolve discrepancies.
- Maintain and reconcile general ledger and sub-ledgers (accounts payable, receivable, inventory).
- Assist in month-end and year-end closing processes.
- Prepare and submit VAT, PAYE, and other statutory returns.
- Monitor cash flow and assist with budgeting and forecasting.
Payroll (Xero Payroll):
- Process weekly/monthly payroll accurately using Xero.
- Maintain and update employee payroll records, benefits, leave, and deductions.
- Submit payroll-related statutory returns (UIF, PAYE, SARS EMP201).
- Prepare payslips and manage payroll queries.
- Ensure compliance with current labor laws and payroll legislation.
Manufacturing-Specific Duties:
- Track inventory movement, raw material costing, and stock adjustments.
- Reconcile production input/output to ensure cost accuracy.
- Collaborate with production and operations departments on financial matters.
- Support fixed asset tracking and depreciation schedules.
Requirements:
Qualifications:
- Diploma or Certificate in Bookkeeping / Accounting (minimum)
- Advanced Xero certification (advantageous)
Experience:
- 3+ years of bookkeeping/accounting experience, preferably in a manufacturing environment
- Experience with Xero Accounting and Xero Payroll is essential
- Solid understanding of payroll processing and compliance
Skills:
- Strong attention to detail and accuracy
- Ability to work independently and meet deadlines
- Good knowledge of MS Excel and accounting principles
- Excellent organizational and communication skills
