About the Role
As a Debtors Clerk (Freight) in our East Rand office, you will be responsible for verifying and managing freight costs across various modes of transport, including air, sea, road, customs, and storage. You will work closely with suppliers to ensure accurate invoicing and identify discrepancies, missing charges, and margin leakage.
Key Responsibilities
- Verify end-to-end freight costings across air, sea, road, customs, and storage
- Compare supplier invoices against approved costings before invoicing
- Identify discrepancies, missing charges, and margin leakage
- Escalate under-costed or low-margin shipments to management
- Raise accurate client invoices within 24 hours of job completion
- Ensure correct application of client rates, tariffs, VAT, currencies, and Incoterms
- Attach all required supporting documentation to invoice
- Prepare and issue monthly VAT statements
- Allocate receipts and reconcile customer accounts
- Maintain accurate debtor age analysis and follow up on overdue accounts
- Investigate, resolve, and re-issue disputed invoices
- Track recurring billing errors and recommend process improvements
- Prepare debtor, revenue, GP, and credit note reports
- Maintain audit-ready document control and support audits
Requirements
Minimum 5 years experience in freight forwarding invoicing and costings. Proven exposure to Airfreight, Sea freight, Road Freight, Customs and clearing charges, Multi-currency billing. Strong understanding of job costing and GP margin control. Experience with freight systems such as Shipshape, Sage Evolution, or similar.
