About the Role

We are seeking an experienced Internal Sales Assistant to join our team in Port Elizabeth, responsible for providing exceptional customer service and supporting the sales process.

Key Responsibilities

  • Receiving and processing customer fuel orders
  • Capturing and releasing orders within the ordering workflow system
  • Following up on on-hold orders and outstanding payments prior to delivery dates
  • Conducting cash checks and releasing orders upon approved payment confirmation
  • Handling customer account queries and reconciliations
  • Managing back-order reporting and clearing orders once confirmations are received
  • Assisting sales representatives with volume reports and pricing confirmations
  • Following up with Logistics regarding released but unplanned orders
  • Monitoring and responding to customer emails and enquiries professionally and efficiently
  • Assisting the Logistics team with route planning and truck capacity optimisation
  • Participating in a rotating after-hours standby schedule (1 week per month)

Requirements

  • Matric Certificate
  • 13 years experience in Internal Sales or Administration

About the Role

We are seeking a highly motivated and organized Internal Sales Assistant to join our team in Port Elizabeth. As an integral part of our sales support function, you will play a critical role in ensuring seamless customer experiences and efficient order processing.

Key Responsibilities

  • Receiving Customer fuel orders
  • Customer Order Entries and releasing thereof within ordering workflow process
  • Following up on on-hold orders for payment with the customers in advance before requested delivery date
  • Cash checks releasing of orders on system upon receipt of payment and within approved workflow process
  • General account queries / account reconciliations
  • Back-order reporting clearing of back orders on system once confirmation received
  • Assisting reps with volume reports and pricing confirmation for customers (pricing already on system)
  • Open Sales order report following up with Logistics on released, unplanned orders exceeding requested delivery dates
  • Daily order checks report – Systems
  • Customer refund requests
  • Monitoring incoming emails, Customer enquiries and responding timeously and efficiently in a professional manner
  • Assisting Logistics team with filling truck capacity by calling customers on specific routes for orders
  • Weekly (1 week per month) after hours standby required Monday to Sunday. Rotating schedule.

Requirements

  • Matric Certificate
  • Minimum of 1 to 3 years experience in Internal Sales / Admin

Qualifications

  • Advanced knowledge of all Microsoft Office applications (Word / Excel / PowerPoint), in particular Excel
