Cape Town City Centre: Administrative Supervisor

Job Description

We are seeking a highly organised and detail-oriented Administrative Supervisor to join a dynamic rentals team based in Cape Town. This role is ideal for an experienced administration professional with strong financial, stock control, and supervisory experience who thrives in a fast-paced operational environment. The successful candidate will take ownership of branch rentals administration, financial processes, stock control, and team supervision to ensure operational efficiency and service excellence. Key Responsibilities • Supervise and support team members to ensure efficient day-to-day operations and high performance. • Set objectives, provide coaching, counselling, and performance management to ensure positive departmental contributions. • Ensure compliance with company policies, procedures, and SHEQ standards. • Complete and submit accurate daily, weekly, and monthly operational reports. • Maintain and update rental fleet descriptions and grading information on the ERP system. • Ensure all customer documentation, lease agreements, and payments are completed before unit dispatch. • Manage billing processes, including pre-billing, escalations, credit notes, and off-hire notices. • Ensure all rental units are billed accurately according to lease agreements. • Maintain and monitor units-not-billing reports. • Resolve internal, customer, debtor, and supplier queries timeously. • Facilitate the preparation and submission of insurance claims. • Oversee stock control processes, including accurate stock counts and ERP updates. • Process delivery and return documentation within agreed timelines. • Reconcile transport and siting accounts monthly and ensure accuracy of purchase orders and rates. • Maintain excellent housekeeping and operational standards. Minimum Requirements • Matric (Grade 12). • Diploma or Degree in Stock Control, Logistics, Administration, or a related field. • Minimum of 3–5 years’ relevant experience in administration, logistics, stock control, or rental operations. • Experience working with ERP systems and Microsoft Office Suite.
