Job Description

JOB OVERVIEW / ROLE PURPOSE

  • Seeking a highly organised and detail-oriented individual with strong analytical, planning, and communication skills
  • The ideal candidate will have strong experience of procurement and contract management processes

Key Responsibilities:

Contract Management:

  • Drafting of physical purchase contracts
  • Collecting outstanding contracts

Stock Control & Monitoring:

  • Ensure that stock on the companys system matches the stock on Cooperatives systems
  • Manage instruction requests, stock movements, transfers and reconciliations

Preparation & handling of invoices:

  • Preparation and manage invoices for payments to suppliers/producers for purchased stock

Transaction Control:

  • Daily verification that all purchase-side transactions are accurately captured in the system
  • Ensure transactions align with SAFEX trades (South African Futures Exchange)

MINIMUM REQUIREMENTS

Qualifications:

  • Relevant Degree or Diploma in Logistics, Supply Chain Management, Business Administration, Accounting, or a related field

Key Requirements:

  • Afrikaans first-language or fully business fluent
  • 37 years experience in:
    • Agricultural trading
    • Grain / commodities admin
    • Co-operatives
    • SAFEX-linked environments
  • Strong Excel + transaction accuracy
  • Comfortable working with contracts, stock reconciliations, and supplier payments
  • Detail-obsessed and process-driven

Experience & Skills:

  • Minium 3 years of experience in a financial or administrative role
  • Advanced Excel skills
  • Strong understanding of procurement and contract management processes
  • Attention to detail and accuracy in document handling and follow-ups
  • Good knowledge of inventory/stock control systems and reconciliation practices
  • Ability to manage stock movement processes and related administration efficiently
  • Solid financial and invoice processing skills
  • Familiarity with transactional systems and daily data entry procedures
  • Understanding of trading platforms such as SAFEX (South African Futures Exchange)
  • Proactive in identifying and resolving discrepancies
  • Strong financial acumen
