Job Description: We are recruiting for a strong Administrator to join a professional accounting office in Table View . This is not a reception role . The ideal candidate must be confident in administration and office support. Duties: Manage day-to-day office administration and support Maintain accurate records and filing systems Assist with personal tax and accounting documentation Prepare correspondence and internal reports Ensure smooth office operations and support the accounting team Requirements: Minimum 2 years office/admin experience Admin-strong with good attention to detail Experience in an accounting firm , especially personal tax , will be a strong advantage Must live close to Table View NB* If you meet the above criteria and are looking for a stable admin role, please apply. Job Description

About the Role

The Administrator role provides comprehensive administrative support to our construction sector business, ensuring operational efficiency across invoicing, subcontractor compliance, and special works. This position is based in Cape Town and requires a self-motivated individual with excellent communication and organizational skills.

Key Responsibilities

  • Process all supplier invoices through Construction Manager on a daily basis.
  • Update sub-contractor insurances and maintain records to request renewals prior to expiration.
  • Maintain the training register and organize training courses for staff when required.
  • Update ConstructionLine, SafeContractor, Avetta, and other systems to ensure ongoing accreditation.
  • Manage the setup of new customers and suppliers on Construction Manager and Sage.
  • Coordinate with Project Managers for invoice approvals and investigate staff issues with Eque2.
  • Prepare documentation for annual audits and complete new customer health and safety forms.
  • Raise purchase orders, permits, and invoices for the special works team.

Requirements

  • Proficient in the use of Microsoft Office programs and general computer skills.
  • Ability to work under own initiative while functioning as part of a team.
  • Superb communication and organizational skills.
  • High level of attention to detail with a responsible and accountable approach.
  • Self-motivated and willing to add value at every level.
  • Strong customer service skills with the ability to communicate effectively both verbally and in writing.

About the role The Administrative Intern will support daily office operations, assist with administrative tasks, maintain records, and gain practical workplace experience in administration, client communication, and basic business processes. Responsibilities General office administration and daily operational support. Client communication, follow-ups and customer service support. Scheduling of cleaning teams and job coordination. Preparing quotations, invoices and maintaining billing records. Data capturing and maintaining client databases. Filing (physical and digital) and document management. Assisting with procurement of cleaning materials and stock tracking. Basic bookkeeping support and expense tracking. Compiling weekly and monthly administrative reports. Assisting with compliance documentation and tender submissions. Assist in compliance with SARS, UIF and other statutory requirements. Email management and responding to general enquiries. Supporting HR administration (timesheets, attendance tracking, onboarding documentation). Minimum Requirements South African Unemployed youth between the ages of 18 and 34. Must not have participated on the YES programme before. Matric. National Diploma or Degree in Business Administration, Accounting or Office Management. Knowledge of Microsoft Office Suite, particularly Excel and Word. Attention to detail, accuracy and strong organizational skills. Understanding of basic financial and payroll processes. Good communication and interpersonal skills. Ability to handle confidential information responsibly. Strong work ethic and willingness to learn within a growing SME environment.
