About the Role
As a Sports Specialist at Craven Cottage CC, you will be responsible for providing exceptional client care, managing reservations and bookings, and ensuring seamless operations. You will work closely with clients, agents, and internal teams to deliver outstanding results.
Key Responsibilities
- Assess client/agent needs in terms of special interests, special needs, and affordability/budget.
- Quoting of all services requested by clients/agents within the agreed turnaround time.
- Managing turnaround times as per agreed Policies or client specifications.
- Checking rates before quoting as dynamic rates may apply.
- Reservations of all services requested by clients/agents.
- Acknowledge receipt of written requests received from agents.
- Respond to written requests and provide written confirmations.
- Opening of client files according to company standards.
- Loading of Tourplan files and balancing.
- WETU – Basic understanding to enable straightforward amendments.
- Managing all aspects of Flight bookings with airlines whether through Amadeus, direct with airlines or through other suppliers.
- Ensure confirmation of services with suppliers.
- Stay in constant communication with clients/agents with regards to status of reservations, payment requirements, deadlines, and conditions of reservations.
- Producing accurate Quotation Sheets/Costings as required to package product.
- Documentation Management of all Reservations:
- Itinerary planning and layout
- Ensure Travel packs are compiled (digital or other)
- Vouchers
- Rooming lists
- Filing
- Handling and escalating client complaints
- Manage MOD phone and queries as required
Requirements
- Matric
- Sports qualification – Advantageous
- MUST be senior and must have worked with Rugby groups before
- Ability to operate under solid pressure and meet tight deadlines
- Effective project management skills
- Plan decisions and practice good judgment
- Build excellent working relationship to attain goals
- Work collaboratively as a team member
- Be self-motivated, confident, energetic, and creative
- Effectively communicate and make best use of interpersonal skills
