Job Description
Our client, in the cleaning and gas installation industry is currently seeking for an office administrator to join their team.
Office hours are Mon-Fri 08:00-16:00
Key Responsibilities
- Customer Service & Communication:
Handle incoming calls and client inquiries professionally, relaying messages to the appropriate staff members.
- Scheduling & Operations:
Coordinate and schedule cleaning jobs, client appointments, and staff assignments.
- Administrative Support:
Assist the management team with various tasks, including preparing reports, managing correspondence, and handling general administrative duties.
- Employee & HR Support:
Maintain employee time sheets.
- Record Keeping:
Organize and maintain various administrative files, including employee information, client details, payment options and operational records.
- Inventory Management:
Track and order necessary supplies, such as cleaning products and office stationery.
- Financial & Billing Assistance:
Support the billing processes by preparing delivery notes and invoicing.
- Office Management:
Ensure the office is tidy and professional, manage incoming and outgoing mail, and maintain office equipment.
Required Skills:
Bilingual-Afrikaans & English speaking
- Organizational Skills:
The ability to manage multiple tasks and priorities effectively.
- Communication Skills:
Excellent verbal and written communication skills for interacting with clients and staff.
- Interpersonal Skills:
Strong people skills for managing customer and team relationships.
- Attention to Detail:
Meticulousness in record-keeping, scheduling, and managing administrative tasks.
- Computer Proficiency:
Competence in using scheduling software, office suites, and other relevant administrative tools. Odoo or Quickbook experience is advantageous
